Job Summary
Provide program level support to Registrar’s Office functions including academic advising, curriculum management, records management, and the student information system. Particular focus on undergraduate students and programs. Operates within a scope of authority to make independent decisions and take independent actions.

Provide program level support to Registrar’s Office functions including academic advising, curriculum management, records management, and the student information system. Essential Job Functions
Academic Advising & Degree Completion
- Monitors undergraduate students’ progress toward degree completion. Works with students, staff, departments, and advisors to proactively address barriers to graduation.
- Assists in evaluating graduates’ final record to qualify eligibility for degree conferral, and processing degrees within the records database.
- Counsels students, faculty, and staff regarding academic policies, procedures, and requirements.
- Prepares and conducts student degree audit and educational planning meetings. Coaches students in creating academic plans, and optimizing use of computerized planning tools.
- May serve as advisor of record for a cadre of undergraduate students, as needed.
- Responsible for the local dual-enrolled student program, including advisement.
- May train new advisors.
Curriculum & Program Management
- Assists in maintaining the undergraduate curriculum, including adherence to standards, Catalog content, program review, and program changes.
- Assists in maintaining the computerized curriculum management system. Includes program and course level planning, construction, inactivation, and reporting.
- Participates in creating semester class schedules. Assists in managing independent studies and special courses during the semester.
- Assists in maintaining the computerized degree audit system, including updating catalogs, academic programs and requirements, and administering approved exceptions and overrides.
- Processes undergraduate student academic program declarations and advisor assignments.
- Assists in the administration of Hillsdale College study abroad programs.
Registration Planning & Student Registration
- Assists in planning for student registration events. Participates in setup of web-tools for registration.
- Assists in processing manual registrations, as needed.
- Assists in constructing incoming undergraduate student class schedules.
Student Information System Web Tools
- • Trains faculty and students in use of web technology and tools related to Registrar functions. Participate in the selection, design, implementation, and maintenance of such tools.
Academic Information and Records Management
- Assists in determining, implementing, and auditing best practices in academic information and records management for main and off-campus sites. Works with administrative staff at off-site locations to establish and maintain uniform processes.
- Assists in managing long-term storage of Registrar records.
Transfer Credit Evaluations
- Evaluates student external transcripts and posts credits and equivalencies to the student record. Processes student non-course equivalencies including Advanced Placement, CLEP, International Baccalaureate, and Hillsdale language placements. Prepares summary reports as needed.
Grading & Grading Processes
- Administers the undergraduate grading process including issuing and validating grade rosters, manually entering grades as needed, changing existing grades, and overseeing grade reporting. Tracks resolution of incomplete and deferred grades.
- Assists as needed in the administration of the academic status process.
- Assists in determining eligibility for athletics, honors, and awards, as needed.
- Generates end-of-semester reports including Deans’ Lists and grade point averages.
Miscellaneous Responsibilities
- May train new faculty as regards Registrar-related functions.
- Participates in evaluating the effectiveness of office operations, and recommending and implementing policy/process changes.
- Executes certain, regular computer system maintenance processes according to the planned schedule.
- Assists in the preparation of memorandums and schedules as they relate to office operations.
- Assists in the creation of the Department calendar as well as the College academic calendar.
- Attends Educational Policy Committee and Faculty meetings. May take meeting minutes, as assigned.
- Executes database queries and generates both ad-hoc and standard reports for analysis and reporting of academic information to campus-wide constituencies.

This position requires a Bachelors Degree. Specific, relevant experience in a higher education setting preferred but not required.

Required Knowledge, Skills and Abilities
- Possesses the ability to interpret, explain, adjudicate, and retain detailed information about the College’s academic policies and procedures, its curriculum, and general operations.
- Possesses a high degree of computer system aptitude and interest. Strong skills in MS Excel, MS Word, MS Powerpoint, Explorer/Safari/Firefox/Chrome, and other standard office software. Experience in data mining and analysis, as well as web-enabled technology preferred. Experience with Datatel Colleague is preferred but not required.
- Possesses excellent interpersonal skills in dealing with College staff, students and visitors. Represents the College and Department in a manner that is satisfying to constituents and that maintains harmony and inter-office cooperation.
- Possesses strong verbal and listening skills. Is articulate, able to speak extemporaneously on a variety of subjects, and cordial. Can effectively listen to student complaints and concerns.
- Possesses the ability to present complex information to a wide variety of audiences and group sizes, including providing training in processes and procedures. Includes preparation of presentation materials, organizing meetings, and conducting follow-up.
- Possesses the ability to prepare written correspondences and reports that effectively communicate, that are clear, concise and articulate.
- Possesses the ability to effectively frame and execute tasks and projects, understanding constraints and resources.
- Possesses the ability to work in a fast-paced environment with deadline pressures and a significant number of daily transactions, interruptions and reassignments.
- Possesses the ability and interest to maintain a high degree of accuracy and reliability in job responsibilities and interactions. Must be able to maintain confidentiality in all aspects of the position.

This relationship needs to be pleasant, supportive, and professional, while maintaining confidentiality as needed.
