Position Summary
We are hiring an HR Assistant (HR Assistant) to support a busy HR department serving approximately 80 employees across 3 locations. This role is ideal for someone who is highly organized, discreet, and comfortable working in systems (Human Resources Information System, timekeeping, and benefits portals). You will manage high-volume HR coordination and documentation that keeps processes timely, accurate, and audit-ready.
Key Responsibilities
Recruiting & Hiring Support (Coordination)
- Post jobs and maintain requisitions in our HR system/applicant tracking workflow
- Schedule interviews across multiple locations; coordinate calendars, interview packets, and candidate communications
- Track candidate status and ensure dispositions are updated accurately
- Support background check and credential verification steps; follow up on missing items
- Prepare and route offer letters for HR approval/signature workflow
- Onboarding & HR Administration
- Coordinate onboarding: pre-boarding emails, paperwork collection, orientation scheduling, and checklist completion
- Support I-9 workflow steps and proper document storage (HR provides oversight)
- Create/maintain employee profiles in the HR system; ensure data accuracy (contacts, job changes, status updates)
- Maintain personnel files and HR documentation in a consistent, audit-ready format
- Support offboarding tasks: documentation, checklists, and system access removal requests
- Timekeeping, PTO & Employee Support
- Assist employees and managers with timecard and paid time off troubleshooting
- Benefits & Leave Administration (Transactional Support)
- Process routine benefits changes (new hire enrollments, qualifying life events, terminations) as directed
- Reconcile eligibility lists and flag discrepancies for HR review
- Coordinate routine benefits documentation requests (not plan interpretation)
- Track leave paperwork deadlines and reminders (HR retains eligibility determinations and medical-related communications)
- Reporting, Compliance Tracking & HR Operations
- Prepare recurring HR reports (headcount, turnover, open requisitions, onboarding status, timecard exception logs)
- Track required training completion and send reminders
- Support site compliance basics (confirm postings are current; notify HR of gaps)
- Maintain HR templates, forms, and standard operating procedures under HR direction
- What Success Looks Like (First 60–90 Days)
- Interview scheduling and onboarding run smoothly with minimal follow-up
- Personnel files and HR system data are consistently accurate and complete
- Timecard exception reminders reduce payroll corrections
- Benefits transactions are processed on time and discrepancies are flagged early
- HR reporting is delivered on schedule with clean data
Associate’s or Bachelor’s degree in Human Resources, Business, Psychology, or a closely related field, or an HR certificate/certification with relevant experience.
