About This Position

Summary:
Responsible for the preparation of various financial reports and performing all general accounting functions in compliance with Generally Accepted Accounting Principles (GAAP), established policies and procedures, CTFC, Tribal, and State requirements; assists CTFC executives with tasks, as directed; performs duties in a guest service friendly, efficient and profitable manner that promotes superior team member, guest and vendor relations. Incumbent will be the designated recording secretary for CTFC Board of Directors and will complete duties related to the designated role.
Functions of this position are Accounting 70% and Administrative 30%
Essential Functions:
Accounts Payable
• Invoice Processing: Receiving, coding, and entering invoices into the accounting system.
• Verification: Auditing invoices against purchase orders and receiving documents to ensure accuracy.
• Reconciliation: Reconciling vendor statements, investigating discrepancies, and resolving billing issues.
• Record Keeping: Maintaining organized, up-to-date vendor files and electronic records.
• Communication: Corresponding with vendors and internal departments regarding account status.
Accounts Receivable
• Invoicing and Billing: Generating, preparing, and sending invoices to customers in a timely manner.
• Discrepancy Resolution: Investigating and resolving billing discrepancies and customer queries.
• Record Maintenance: Updating and maintaining customer files, including contact information and credit terms.
General Accounting
• Assist with maintaining financial reports, records, and general ledger accounts reconciliation under the supervision of the Accounting Manager.
• Contribute to the development and review of annual operating budgets and performance projections.
• Assist with annual audit.
• Ensure compliance with GAAP.
• Assist the Accounting Manager as needed.
Executive Assistant/Recording Secretary
• Serve as the recording secretary for the CTFC Board of Directors.
• Assist the CEO and other CTFC executives with day-to-day tasks, as directed.
• Confidentiality: Handling sensitive, proprietary information with strict discretion.
• Calendar Management: Coordinating complex, frequently changing, and high-priority schedules.
• Travel & Logistics: Arranging comprehensive travel itineraries, including flights, hotels, and transportation.
• Communication Liaison: Screening calls, managing email correspondence, and acting interacting with guests and clients for the executive.
• Documentation & Reporting: Preparing, editing, and formatting documents, reports, and presentations.
• Meeting Coordination: Developing, collecting and distributing the meeting agenda along with any supporting documentation. Recording and transcribing minutes for internal/external meetings and events.
• Record Retention and Compliance: Maintain electronic and paper records of all CTFC Board Meetings and Resolutions chronologically ensuring records are organized and easily accessible by company and in compliance with CTFC retention policy and Colville Tribal Code Chapter 7-1.
• Respond to information requests.
• Operate and maintain office equipment, including but not limited to a computer, programmable telephone system, programmable fax, and multi-use photocopier.
• Performs other duties or special projects assigned.
MINIMUM QUALIFICATIONS (knowledge, skills and abilities):
• Must be at least 18 years or older.
• High school diploma, GED or equivalent.
• Associates Degree in Business, Accounting, Finance, or closely related field AND at least three years (36 months) of successful work experience that demonstrates the ability to perform the essential functions of this position; OR,
• A combination of post-secondary education and progressively responsible work experience totaling five years (60 months) experience that demonstrates the ability to perform the essential functions of this position.
• Ability to maintain confidentiality.
• Provide a high standard of professionalism and guest service.
• Ability to understand, speak, communicate and read the English language.
• Excellent verbal, written, public speaking and presentation skills.
• Working knowledge of GAAP.
• Proficiency in MS Office based programs and knowledge to operate general office equipment
• Proficiency in accounting software/databases such as QuickBooks, Sage or ERP Systems
• Strong attention to detail, accuracy, time management problem solving and organizational skills.
• Strong mathematical aptitude and ability to perform accurate calculations
• Requires the ability to work in a fast-paced environment with continually changing priorities and deadlines.
• Must possess and maintain a valid driver’s license.
• Must be able to obtain and maintain a valid Tribal Gaming badge.
• Must successfully complete Title 31, Banking Secrecy Act training upon hire and annually.
• Ability to work variable hours including days, evenings, weekends, overtime, and holidays.
Physical Demands / Work Environment:
• Manual and finger dexterity as required to perform daily job duties.
• Ability to frequently sit for prolonged periods of time.
• Ability to occasionally lift 25 pounds.
• Ability to frequently bend, squat and reach.
• Ability to frequently push, pull and move items.
• Requires the ability to comprehend complex issues.
• Sufficient visual acuity to write, recognize printed materials, computer screen, and notice non-verbal behavior.
• Speech and hearing ability to project voice to small and large audiences, carry on radio/telephone conversations, hear and grasp verbal communications and equipment prompts.
• Ability to drive in adverse weather conditions.
• Periodically exposed to high levels of noise, flashing lights and tobacco smoke.
