Position Overview
The Administrative Assistant’s responsibility will be supporting the day-to-day administrative functions within your department.
Primary Responsibilities
- Answers phones and greets visitors
- Schedules appointments and maintains calendars
- Schedules and coordinates staff and other meetings
- Assisting with submitting department timesheets to payroll department on a weekly basis
- Audits automated and manual timecards for payroll processing
- Collates and distributes mail
- Prepares communications, such as memos, emails, invoices, reports and other correspondence
- Writes and edits documents form letters to reports and instructional documents
- Creates/maintains filing system, both electronic and physical, if applicable
- Other duties as assigned
Qualifications
- Understanding of union/non-union and prevailing wage payroll
- Display a high level of organization and prioritization for tasks at hand
- Demonstrates flexibility to effectively deal with changing priorities and timelines through analytical problem solving
- Proven time management and follow-through skills with the ability to work on multiple tasks with tight deadlines
- Ability to work both independently and in a collaborative team-oriented environment
- Display superior written and oral communication skills and effective listening skills
- Maintain a tactful, mature and professional demeanor with well-developed interpersonal skills, including the ability to work with diverse personnel
Education and/or Experience
- A minimum of 5 + years’ administrative experience
- A minimum of 2 years payroll experience
- High School Diploma
- High Volume environment
- Intermediate experience with Microsoft software such as Word, and Excel
