Role Summary:

The Program Assistant, Faculty of Arts and Social Science (FASS) provide wide-ranging administrative and academic support to department chairs, program faculty, and undergraduate students within the faculty. This role plays a vital part in ensuring the effective and efficient administration of undergraduate academic programs, supporting student success, and enabling faculty to focus on research and teaching excellence.

Key areas of support include course management, academic policies and procedures, examination administration, technical support and training, and general administrative coordination across multiple stakeholders.

Responsibilities:

  • Administer undergraduate academic programs efficiently and effectively, ensuring adherence to institutional policies and procedures.
  • Respond to student inquiries related to courses, programs, examinations, and academic regulations with professionalism and discretion.
  • Support faculty by managing administrative processes, allowing increased focus on research and student engagement.
  • Coordinate grade submission processes and examination administration, including liaising with internal faculty, Western, and external offices as required.
  • Administer Student Questionnaires on Courses and Teaching (SQCT).
  • Liaise between Huron University College and Western University Student Accessibility Services (SAS) regarding exams and academic accommodations.
  • Work closely with Western’s Student Records and Scheduling Coordinator to support academic operations.
  • Provide administrative support and training to academic department chairs and faculty members.
  • Support course management systems and e-learning platforms; assist faculty with basic technical troubleshooting and training.
  • Maintain accurate academic records and documentation in accordance with institutional standards.
  • Work closely with the Office of the Vice-President Academic, Registrar, Student Support Services, Information Desk, and Marketing.
  • Frequently liaise and collaborate with key contacts at Western University and King’s University College to ensure seamless academic and administrative processes.

Qualifications:

  • Undergraduate degree from a recognized post-secondary institution required, preferably in Liberal Arts.
  • Minimum of three (3) years of experience in a fast-paced administrative support role, ideally within a post-secondary or educational environment.
  • Knowledge of the academic programs and disciplines offered within the Faculty of Arts and Social Sciences and Huron University;
  • Experience / knowledge of PeopleSoft and the Brightspace course management system would be considered an asset;
  • Proficiency with MS Office Suite products (Word, Excel, PowerPoint)
  • Excellent time management skills with the ability to organize, prioritize, and manage multiple competing deadlines.
  • Exceptional oral and written communication skills, with the ability to interact positively and calmly with faculty, students, and the public, including in stressful or time-sensitive situations.
  • Strong problem-solving abilities and demonstrated sound judgment in decision-making.
  • High level of initiative, with the ability to work effectively with limited supervision.
  • Demonstrated commitment to service excellence and continuous improvement, including making recommendations for process or service enhancements.
