About This Position

Multi-Site SERVICE MANAGER

General Statement of Duties: The Multi-Site Service Manager is a result-driven leader responsible for maintaining properties' physical condition and marketability. Effectively develops and leads strong maintenance teams to accomplish short and long-term objectives for assigned properties and achieve established performance benchmarks. Each Senior Service Manager oversees more than one property. This is a hands-on position as well as a developmental position.

Maintain a high degree of trust, loyalty, and truthfulness as a Fiduciary of Columbia Residential.

Supervision Received: Reports to Community Manager.

Compensation: This is an hourly position.

Essential Functions of the Position:

Responsible for meeting or exceeding established performance benchmarks for contributing to the financial performance and managing the portfolio’s operations following company and regulatory guidelines:

  • Supervisor turnkey, ensure that apartment homes are rent-ready within five business days.
  • Instruct staff in work policies, procedures, safety procedures, and the use of maintenance equipment.
  • Ensure service requests are completed within company standards. Follow up on service requests to assure the highest quality customer satisfaction.
  • Conduct and/or assist with quarterly housekeeping inspections.
  • Ensure contractor's repairs meet specifications and established standards.
  • When necessary, plan and prepare service staff work and lunch schedules.
  • Manage budget by controlling expenses.
  • Attend and participate in resident meetings and events.
  • Accurately complete reports as required.
  • Manage warranties and coordinate with contractors to schedule repairs.
  • Counsel staff to resolve performance and human resource issues.
  • Inspect maintenance equipment weekly to ensure that it is working properly.
  • Conduct annual performance evaluations.
  • Conducted inventory of current stock and ordered parts/supplies to ensure that supplies and equipment were available in adequate amounts.
  • Maintain asset inventory system for internal audit purposes.
  • Ensure the maintenance team is in company-approved uniform.
  • Perform other duties as assigned by management.
  • Will schedule and be part of an on-call schedule.
  • Maintain all required maintenance logs, find below:
  • Environmental Protection Agency log (EPA) which documents refrigerant along with copies of invoices.
  • Mold.
  • Inspection.
  • On Call.
  • All others as required.

Skills/Specialized Knowledge:

  • Ability to read, write, understand, and communicate effectively with a team.
  • Ability to use a personal computer and working knowledge of Microsoft Word, Outlook, and Excel.
  • Heating, Ventilating, and Air Conditioning (HVAC) knowledge is required.
  • Knowledge of (property) site functionality.
  • Strong organizational and time-management skills.
  • Excellent customer service and interpersonal skills.
  • Ability to negotiate a contract.
  • Ability to set goals and consistently meet deadlines.
  • Ability to use standard maintenance tools and equipment in a training capacity.
  • Ability to perform intermediate mathematical and accounting calculations.
  • Knowledge of federal fair housing laws and any applicable local housing provisions.

Education and/or Experience:

  • A high school diploma or equivalent is required.
  • College degree preferred.
  • Minimum of 2 years previous experience in property management maintenance, and other building maintenance.

Required licenses or Certifications:

  • Current driver's license and automobile insurance.
  • EPA Certified Type II or Universal.
  • Certified Pool Operator (CPO) certification.
  • Other licenses and/or certifications as required by state law.


Other Requirements:

  • Must comply with all safety regulations including, but not limited to the use of back braces, safety goggles, and gloves when appropriate.
  • Must always be reachable via phone except during approved time off.
  • Some travel may be required.
  • Will be on an emergency call.

Physical Demands:

  • Standing, walking, and/or sitting for extended periods.
  • Frequent handling, use of hands, fingers, talking, and hearing.
  • Moderate climbing, bending, stooping, kneeling, crouching, reaching, lifting, and feeling.
  • Pronounced visual acuity (near and far) and field of vision.
  • Ability to judge distances and spatial relationships.
  • Ability to identify and distinguish color.
  • Ability to distinguish the differences or similarities in odors, such as a gas leak.

Mental Functions:

  • Ability to compare, copy, compute, compile, analyze, coordinate, synthesize, negotiate, communicate, and instruct.
  • Ability to tolerate stressful situations.
  • Ability to work under minimal supervision.

Work Environment:

  • Exposure to noise, vibrations, and atmospheric conditions, as well as working in confined or restricted spaces.

Hazards:

  • Exposure to burning fuel, explosive substances, or radioactive rays or waves.
  • Potential exposure to environmental hazards, chemicals, electrical shock, heights, moving mechanical parts or machines, fire, and radiation.
