Administrative Assistant, Center for Student Success at Queens University Of Charlotte – Charlotte, North Carolina
About This Position
Summary: The Administrative Assistant provides essential administrative support to the Center for Student Success (CSS) and serves as the primary point of contact for the office. This role requires strong interpersonal skills, professionalism, and a genuine interest in supporting students, faculty, staff, and campus visitors within a higher education environment. This is a full-time, non-exempt position reporting to the Assistant Vice President for Academic Success and Operations.
This position is not exempt from provisions of the Fair Labor Standards Act (FLSA) and is eligible to earn overtime pay for hours worked above 40 in a single work week. This position is not eligible for visa sponsorship.
Essential Duties and Responsibilities include:
- Greet and assist visitors to the Center for Student Success by assessing needs, answering questions, providing referrals, and scheduling appointments as appropriate.
- Provide administrative support to the Executive Director for Student Success, including managing the director’s calendar, scheduling meetings, reserving rooms, and taking meeting notes.
- Maintain office data and records, run routine reports, respond to email and phone inquiries, order office supplies, and oversee the CSS SharePoint page.
- Coordinate logistics for CSS events and programs, including arranging IT support, parking, room reservations, and catering. Assist the Director of Student Accessibility Services with coordinating student exams.
- Engage effectively with diverse student populations while maintaining sensitivity to the needs of individuals with disabilities.
- Train and supervise work-study students; assign tasks and monitor workflow.
- Support budget-related processes including vendor purchases, reimbursements, travel expenses, and report preparation.
- Develop and refine administrative procedures to improve efficiency within CSS.
Nonessential Duties:
- Perform other duties and special projects as assigned to support departmental and University needs.
Required Experience, Knowledge, and Skills
- Strong interpersonal skills with the ability to build rapport with students, faculty, staff, and parents.
- Excellent verbal and written communication abilities.
- Strong customer service skills and ability to remain effective during peak periods in the academic calendar.
- Exceptional organizational skills and attention to detail.
- Ability to prioritize multiple tasks and manage competing deadlines in a fast-paced environment.
- Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel.
- Ability to work independently as well as collaboratively within a team.
- Demonstrated ability to learn new processes and procedures quickly.
- Bachelor’s degree or an equivalent combination of education and experience.
Preferred Experience, Knowledge and Skills
- Prior experience providing front-line student services within a higher education environment.
- Experience working with students, particularly individuals with disabilities
