About This Position
The Human Resources Department at Elizabethtown College invites applications for a Human Resources/Student Employment Specialist.
The primary purpose of this position is to perform administrative tasks and services to support effective and efficient operations of the college’s human resources department. The HR/Student Employment Specialist will operate in a team environment, working under tight deadlines, with confidentiality and discretion to always being maintained. This position will be full-time, in-person, Monday-Friday 8:30am-4:30pm.

ESSENTIAL FUNCTIONS
- Act as the face of the department by welcoming, greeting and professionally directing all visitors in the department with professionalism and impeccable customer service
- Maintains accurate up-to-date human resource files, records and documentation
- Maintains the integrity and confidentiality of human resource files and records
- Answers frequently asked questions from applicants and employees, via phone call or email, relative to standard policies, benefits, hiring processes, etc.; refers complex questions to appropriate senior-level HR staff or management
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
- Provides clerical support to the HR department, such as opening, sorting and distributing mail, copying, scanning, filing and shredding
- Assists with the planning and execution of special events such as employee recognition, benefit/open enrollment fair, new student orientation, and employee training
- Orders office supplies, copy paper, letterhead, and envelopes for the department
- Complete written and verbal employment verification requests
- Assists with Student Employment campus wide
- Assists with attending student orientation(s) and panels for Student Employment
- Performs other duties as assigned
- Maintain HR email account and distribute emails to specific HR Team members.
- Responsible for maintaining onsite/offsite employee/payroll files (coordination of moving/shredding)
STUDENT EMPLOYMENT FUNCTIONS
- Coordinate the student employment onboarding process, including distribution and tracking hiring documents and employment requirements.
- Monitor completion of student employment requirements (I9 documentation, policies, acknowledgement) and follow up with students and supervisors to ensure timely clearance to work.
- Assisting with maintaining accurate student employee records in the HRIS, ensuring position data, job assignments, and employment status changes are up to date.
- Track and manage student employment eligibility factors (enrollment status, academic standing indicators provided by appropriate offices) in partnership with campus stakeholders.
- Guide supervisors on student hiring procedures, documentation requirements, and timelines.
- Assist departments with student position setup, updates, and position lifecycle management.
- Additional support for student employees and supervisors regarding student employment policies, procedures, and system navigation.
- Assist with development and deliver training and reference materials for supervisors on student hiring, onboarding, and employment process.
- Provide front-line support to students regarding onboarding steps, documentation requirements, and employment status.
Education and/or Experience
Advanced administrative skills and strong computer literacy. Strong frontline customer service experience is also required.
Bachelor’s degree and previous HR experience in higher education is preferred.
