Job Description

The Office Manager is an Assistant Manager position, focusing on the area of office and warehouse operations. The Office Manager handles a variety of functions in order to ensure the smooth operation of the assigned location, supports the Operations Manager in making changes to processes or procedures in accordance with Corporate directives.

Essential Functions:
• Oversees office and processes as outlined by the Corporate office.
• Learns customer accounts and customer SOPs.
• Utilizes company and vendor software to complete tasks.
• Maintains data and/or other systems/software as needed or directed.
• Responsible for daily and/or routine review of metrics as directed.
• Reviews daily completed customer deliveries and advises management of needed follow up.
• Monitors unscheduled orders and customer communication.
• Creates daily work order and delivery paperwork.
• Maintains open order report to ensure compliance.
• Creates delivery BOLs as needed.
• Reports completed delivery information.
• Maintains open lines of communication with Corporate office and ensures office/business procedures & processes as outlined by Corporate office are followed.
• Monitors delivery quality including team performance, delivery and installation quality, and damage claim processing.
• Schedules and coordinates meetings.
• Participates in recruitment and dismissal procedures.
• Handles issues, problems or concerns within the workplace in accordance with policies.
• Provide direction to staff.
• Assists and/or manages personnel information which includes time management, ensures work hours and time entries are appropriately recorded in alignment with policy. Monitors OT, lunches, punches and manages or relays information concerning hours in order to maintain control of payroll costs.
• Fills in for Operations Manager in times of absence. Makes decisions, provides accountability.
• Supports on-going learning and development of team members
• Responsible for handling or assisting in addressing customer inquiries/complaints.
• Responsible for handling clerical work relative to the overall operation which may include data entry/tracking, filing paperwork, etc.
• Answers phones, handles/routes calls as needed.
• Assists in employee management, may handle 1:1, follows all documentation requirements.
• Integral in setting culture and tone. Helps create and foster a respectful, professional environment.
• Assists in ensuring staff and teams report in uniform.
• Assists in maintaining facility in proper condition.
• Leads by example. On-time daily.
• Other duties as assigned.
Competencies:
• Competent in employee management, operations management, systems and process management.
• Must be computer proficient. Able to learn new systems quickly, must be able to use Microsoft Office applications. Various vendor software/customer software use is required.
• Must pass a drug screen.
• DOT card preferred.
• Must be willing to learn, ask questions, identify solutions to issues/problems.
• Must have good communication skills with the ability to communicate with customers, managers, and employees on all levels.
• Must be able to follow processes and procedures.
• Must have the ability to prioritize and be aware of things need to be done.
• Must be adaptable and willing to change as situations arise and business needs dictate.
• Must have the ability to perform all tasks listed in the job description.
• Must have an attention to detail.

Work Environment and Physical Demands:
• While performing the duties of this job, the employee is regularly required to talk, hear, and read. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms forward and overhead.
• Must be able to bend, stoop, lift, push, pull, climb stairs, stand, sit, reach.
• Must be able to lift, move inventory.
