$40,531 – $60,290 (salary is based on qualifications and experience).


Job Description:

The City of Chesapeake Department of Public Utilities is seeking a detail-oriented and customer-focused Office Coordinator to provide critical administrative support to executive leadership and divisional staff.

This position provides direct administrative support to the Public Utilities Director and Deputy Director, as well as supplemental support to five Division Administrators. The Office Coordinator serves as a central point of contact, requiring exceptional organizational skills, sound judgment, and the ability to communicate effectively with employees, customers, and stakeholders across all levels of City government.

The Office Coordinator is responsible for coordinating and performing a wide range of administrative and operational support functions. This role operates with general supervision and requires the ability to prioritize tasks, manage multiple assignments, and develop efficient work processes. The position also supports functions related to an emergency operations environment with dynamic and evolving priorities.

Key Responsibilities include:
  • Serve as a primary point of contact for employees, customers, vendors, contractors, and the public; provide information, respond to inquiries, and route communications appropriately.
  • Coordinate schedules, meetings, and appointments for executive leadership and divisional staff.
  • Develop, implement, and maintain office procedures and administrative systems to improve efficiency and consistency.
  • Prepare and edit a variety of documents, including correspondence, reports, newsletters, presentations, charts, and technical or statistical materials for internal and external audiences, including City Council and executive leadership.
  • Record and transcribe meeting minutes, notes, and other documentation as needed.
  • Create and maintain forms, records, and filing systems in accordance with City policies.
  • Process purchase requisitions and related transactions in PeopleSoft, the City’s financial management system.
  • Provide support for special projects, initiatives, and emergency operations activities as assigned.

Additional duties may be assigned as needed.

Required Qualifications:
VOCATIONAL/EDUCATIONAL REQUIREMENT: Requires any combination of education and experience equivalent to an associate’s degree in word processing, secretarial skills, or a closely related field.

EXPERIENCE REQUIREMENT: In addition to satisfying the vocational/education standards, this class requires a minimum of two years of full-time equivalent experience in administrative support.

SPECIAL CERTIFICATIONS AND LICENSES: Requires valid driver’s license and driving record in compliance with City Driving Standards.

SPECIAL REQUIREMENTS: Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.


Preferred Qualifications:
Diverse experience in customer service, public service and utilities administration. Experience with SharePoint and Peoplesoft.
