We are seeking a highly organized and experienced Executive Administrative Assistant to provide comprehensive administrative and secretarial support to our executive team. Essential Job Functions

  • Executive Support
    • Manage paper flow and document routing for the COO, including documents requiring signature, routine correspondence, and administrative items ensuring items are routed correctly
    • Serve as primary point of contact for internal and external stakeholders, resolving routine inquiries independently and escalating with sound judgment
    • Draft correspondence and communications on behalf of executives while preserving their voice
    • Maintain strict confidentiality on board-level, M&A, personnel, and financial matters across all channels
    • Coordinate delegated scheduling including 1:1s, in-office events, and travel arrangements
    • Support light project follow-up and ad-hoc deliverables, including periodic administrative support to the acquisitions team during active deals
    • Prepare, edit, and format correspondence, memos, and documents as requested
  • Headquarters Administration

    • Oversee HQ facility operations including building maintenance, conference rooms, communal spaces, and break room, coordinating with cleaning, IT, and facilities vendors
    • Partner with HR and IT to coordinate new HQ hire onboarding, ensuring full setup by each start date
    • Coordinate monthly and quarterly HQ all-staff meetings including logistics, communications, and follow-up
  • Vendor & Account Management

    • Own and administer the company-wide uniform program across 50+ locations, managing vendor relationships, order coordination, and issue resolution
    • Process store vendor activity across corporate accounts (Staples, Cintas, Iron Mountain) including new account setup, order requests, and routine purchasing decisions within established parameters
    • Manage day-to-day relationships with shipping and postage vendors (Unishippers, Pitney Bowes), handling requests and resolving issues independently
    • Monitor vendor performance across all managed accounts and address issues proactively before escalation is needed

Qualifications

  • Education:
      • Bachelor’s degree or equivalent experience preferred.
  • License & Certifications:
      • Public Notary Certification, or ability to attain Public Notary Certification
    • Experience:
      • 2-5 years of proven experience as an executive administrative assistant or similar role
  • Abilities:
    1. Exceptional organizational and time management skills, with the ability to prioritize and multitask effectively.
    2. Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
    3. Excellent written and verbal communication skills, with a keen attention to detail.
    4. Ability to work independently and take initiative, while also collaborating effectively with team members.
    5. Discretion and confidentiality in handling sensitive information.
    6. Proactive and adaptable, with a positive and professional demeanor.
