About This Position

Description:

Provides general office support with a variety of clerical activities and related tasks. The administrative assistant will be responsible for answering incoming calls, directing calls to appropriate team members, flow of correspondence, requisition of supplies, as well as additional clerical duties.

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Answers and directs telephone calls through Mitel Phone System
  • Provide back up for the HQ receptionist and PSC desk as needed
  • Provide telephony support for the Prayer Department and Victory Events as needed
  • Maintain tour guide schedule and provide tour guides for visitors
  • Composes, edits, and distributes correspondence
  • Assists with faxes, phone calls, photocopying and routing
  • Assists with projects and administrative support as directed
  • Coordinates all department requests i.e., temporary requests, solution requests, building maintenance requests, etc.
  • Completes purchase requisitions, employee free product orders, and material stock requests as needed
  • Oversees and maintains the training rooms, including supplies, PSC room reservation approval, and submitting IT requests
  • Completes departmental break room and office supply orders
  • Restocks break room coffee supplies as needed
  • Provide back up for WFM Reporting
  • Assist with WFM ticketing system and schedules
  • Performs other duties as assigned
Requirements:

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent
  • Three to five years administrative experience preferred

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Skilled in Microsoft Office Suite with an emphasis in Word and Excel
  • Knowledge of Studio Enterprise and Serenic Navigator preferred
  • High level of maturity/confidentiality required
  • Demonstrated ability to compile letters, memos and other written correspondence. Must have strong command of the English language
  • Demonstrates excellent verbal and written communications skills with legible handwriting
  • Ability to work independently on assigned projects with minimal supervision
  • Ability to meet deadlines
  • Research skills required. Demonstrated abilities to use resources (internet, etc.) to fact find
  • Must be dependable and a self-starter.
  • Ability to analyze situations and make responsible decisions
  • Ability to prioritize work efficiently and manage time effectively
  • Ability to manage high volume of differing work details and workload This includes the ability to change from job to job quickly, both mentally and physically
  • Excellent interpersonal skills required
  • Typing skills preferable at 50 wpm

EQUIPMENT TO BE USED:

  • Desktop Computers, calculators, fax machine and copy machine

TYPICAL PHYSICAL DEMANDS:

  • Must be able to sit at a desk for up to 7.5 hours
  • Must be able to stand, stoop or bend at times
  • Must work assignments that require a moderate volume of data entry into a PC
  • Able to lift 30 lbs.

TYPICAL MENTAL DEMANDS:

  • Ability to give, receive and analyze information
  • Must be very organized and require minimum instruction
  • Must be detailed, organized and communicative
  • Requires ability to multi-task
  • Must relate and interact with people at all levels

WORKING CONDITIONS:

  • Work in a normal office environment.

  • Born again believer and must adhere to the doctrines of this organization as upheld by Kenneth and Gloria Copeland and their appointed representatives
  • Must work well with others, as a team and according to Romans 16:17, must not cause dissension and division
  • Must maintain a good attendance record
  • Sensitive to needs of others, which includes a love and commitment to the members and congregation of EMIC and Kenneth Copeland Ministries staff.
  • Interpersonal skills necessary to interact with diverse groups of people, considerable skill and diplomacy in communication. Ability to build effective working relationships inside and outside departments or groups.
  • Self-motivated and takes initiative. Ability to react with appropriate urgency to situations and events that require quick response or turnaround.
  • Operates with pre-emptive thinking and must be discerning and able to make good judgment calls with minimum supervision.
