What You’ll Do
The Supervisor, Insurance Specialist, reports to the Director of Access Services. Supervises and coordinates the daily operational activities of Patient Access Insurance Specialist associates (i.e., assigns work, facilitates department meetings and is responsible for associate scheduling, annual reviews and disciplinary actions, etc.). Provides ongoing education and insurance updates to the team. Follows established Beacon policies and procedures to verify insurance coverage and ensure necessary procedures and hospitalizations are covered by an individual's provider. The Supervisor is accountable for the Verification of Benefits (VOB) and Pre-certification (PA) functions. They will work closely with Outpatient Scheduling, Surgery Scheduling, Registration, Utilization Management, Social Workers, and physician offices. This person will be the first contact for any authorization issues and will work with the appropriate department for resolution. Supports the management team by ensuring there is adequate staffing by being available while working, maintains Active Staffer and completes the six-week work schedule.
Supervisor, Insurance Specialist Job Responsibilities
- Oversees daily verification of benefits (VOB) and authorization workflows for all scheduled and unscheduled inpatient, outpatient, surgical, emergency, and ancillary services.
- Assigns work, sets schedules, audits accounts for accuracy, monitors 835 denials, and ensures timely claims release.
- Secures and documents pre-certifications and authorizations; validates medical necessity (CPT/ICD-10), MSP compliance, and payer requirements.
- Verifies and documents insurance eligibility, benefits, and patient financial responsibility (co-pays, coinsurance, deductibles, out-of-pocket amounts).
- Collaborates with physician offices, surgery scheduling, utilization review, social services, and eligibility vendors to resolve authorization issues and reschedule non-authorized procedures.
- Maintains accurate documentation and worklists within systems (PHS, SurgiNet, Cerner, STAR); generates required reports and uploads payer demographics.
- Prepares Medicaid/HIP PA forms, reconciles self-pay accounts, and supports bill edit and receivable work queue processes.
- Conducts effective time-of-service collections while maintaining strong patient relations and customer service standards.
- Provides leadership oversight, including performance reviews, feedback, disciplinary actions, quality monitoring, and facilitation of department meetings.
- Ensures compliance with regulatory standards, organizational policies, education requirements, certifications, safety protocols, and scheduling/overtime expectations.
Required Qualifications
- The knowledge, skills and abilities as indicated below are normally acquired through the successful completion of a high school diploma (or equivalent).
- A minimum of 3 years of experience in a hospital or physician practice business office is required.
- Excellent leadership, time management, organizational skills, research/analytical skills, negotiation, communication (written and verbal), and interpersonal skills required. Associate's degree preferred.
- Medical prior authorizations or claims experience in a managed care setting and CHAA certification are highly preferred.
- Prior experience in a leadership role is preferred.
What You Bring
As a Supervisor, Insurance Specialist, this role requires strong proficient computer and communication skills, including the ability to type at least 40 wpm, use standard office equipment, and navigate multiple databases such as STAR, Pathways Healthcare Scheduling, RelayHealth, R1, Cerner, and ACA Compliance Checker. The individual must have a solid understanding of time-of-service collections, medical terminology, private insurance coverage, managed care, ICD-10 and CPT codes, and basic math skills to calculate deductibles, coinsurance, and out-of-pocket costs. Excellent telephone, verbal, and listening skills are essential to effectively communicate with patients, physicians, insurance companies, and internal departments. The role also requires strong interpersonal skills, cultural sensitivity, sound judgment, composure under stress, and strict adherence to confidentiality policies.
