Description

This position manages the accurate and timely payment of invoices, ensuring compliance with WaterOne’s policies, while also cultivating strong vendor relationships and upholding financial integrity. Pay range for this position is $21.83/hr. to 27.31/hr. Compensation for the selected candidate will depend on candidate qualifications and experience related to the position requirements.

Essential Functions

    • Maintains up-to-date knowledge of active vendors and contracts to validate invoices.

    • Monitors vendor payment terms, Accounts Payable emails, and parked documents to ensure timely payment of invoices.

    • Reviews supporting documents such as purchase orders, packing slips and memos to confirm the accuracy of the invoiced amount.

    • Adheres to Accounts Payable processes, establishing documentation in the enterprise resource planning system and monitoring workflows to confirm proper approvals obtained.

    • Completes Purchasing Card (P-Card) system updates as required, validating workflows, delegations, and authorizations.

    • Coordinates with Procurement to resolve discrepancies such as mismatched invoice amounts associated with purchase order issues or problems with P-card utilization.

    • Exercises vigilance against fraud, identifying potential fraudulent emails and invoices

    • Assists in educating WaterOne’s employees on Accounts Payable and Purchasing policies and procedures.

    • Tests all Accounts Payable functions in the event of an enterprise resource planning system upgrade.

Other Duties

  • Assist Accountants in reviewing P-Card statements in P-Card system.
  • Assist in reviewing frameworks, confirming purchase orders, check requests and standard purchase orders to identify opportunities for improvement, encouraging WaterOne employees to follow best practices.

Required Education & Experience

  • High School Diploma or GED.
  • Two year's experience working in a Finance related field.

Required Knowledge, Skills & Abilities

  • Experience with the Microsoft Office suite of applications, including Word and Outlook.
  • Detail oriented, maintain a high level of accuracy, and be well organized.
  • Excellent customer service skills, including good communications skills and the ability to maintain effective relations with vendors and WaterOne staff.
  • Ability to meet deadlines and maintain quality of work under fluctuating or heavy workloads.
  • Ability to successfully complete a pre-employment drug screening and background verification in accordance with WaterOne standards.

Preferred Qualifications

  • Experience with SAP or a similar enterprise resource planning system.
  • Direct experience in preparing and processing vendor invoices.
  • Experience working for a Governmental entity.
  • Experience with Microsoft Office Excel.

While performing the duties of this job, the employee may rarely lift/or move up to 5 pounds. The employee must be able to maintain in a stationary, standing and/or sitting position for up to several hours a day. They must be able to constantly a computer and other office productivity machinery, such as a copy machine, telephone and computer. They must be able to position and move through elevators, stairways, ramps and rough terrain.

The work environment for this position is a typical office setting.
