The Body Shop Office Coordinator assists the Body Shop Director with the financial condition of the dealership and directing the overall front office practices. As with all positions within dealerships, managers are expected to uphold the highest ethical standards.
  • Previous Automotive experience is preferred
  • Assist the Body Shop Director with overseeing the financial accounting system and managing the Body Shop clerks
  • Meet with the Body Shop Director regularly to review business matters and develop plans to increase profitability
  • Greet customers as they arrive in a pleasant and professional manner
  • Direct customers to the resources that will best meet the customers needs
  • Answer incoming phone calls in a prompt, polite, and professional manner
  • Screen calls and direct to the appropriate party, and/or obtain enough information to allow for follow-up that is convenient for the customer
  • Receipt and record cash, checks, and credit card payments from customers
  • Reconcile cash drawer daily, as directed by the accounting office
  • Maintain and file repair orders daily
  • Open and close repair orders for all incoming and outgoing vehicles in a timely manner
  • Assist with the accounting schedules and accounts receivables
  • Collection of accounts receivables
  • Reconcile schedules
  • Schedule appointments
  • Schedule - members and guests for what is needed daily
  • Ensure work areas are clean and presentable
  • Build reports for Supervisors as needed
  • Booking and closing of tickets
  • Maintain PCARD daily
  • Maintain and organize file room as needed
  • Other miscellaneous administrative duties as needed
  • Managers should have strong communication, customer service, leadership and organizational skills
  • Proficiency in Microsoft Office applications is expected and familiarity with additional accounting software programs is valued
  • Operate office equipment and computer systems as needed
  • Maintain Customer Satisfaction at or above company standards
  • Must be an effective communicator
  • Must be team orientated and comfortable in an open office setting
  • Must have a strong attention to detail
  • Must be able to operate in a fast paced environment
  • Must be at least eighteen years of age
  • Must be able to pass pre-employment screens (background and drug test)
  • Prefer a minimum of 5-7 years of relevant work experience
  • Minimum High School Diploma or GED required
  • College Degree in Accounting or Business Administration preferred (mathematics, business and accounting coursework beneficial)
