About This Position
The CPAP Supply Coordinator at Gwinnett Pulmonary & Sleep is responsible for managing the refilling of CPAP supplies for patients using CPAP therapy. This role involves coordinating with patients, ensuring timely and accurate refills, maintaining inventory, and providing excellent customer service. The CPAP Supply Coordinator plays a crucial role in ensuring that patients have the necessary supplies to adhere to their sleep apnea treatment plan, thereby contributing to their overall health and well-being.
Key Responsibilities:Patient Coordination and Supply Management:
- Coordinate with patients to determine their CPAP supply needs, ensuring that they receive refills in a timely manner.
- Contact patients regularly to remind them of upcoming supply needs and manage their orders accordingly.
- Maintain accurate records of patient supply usage, preferences, and refill schedules in the electronic medical records (EMR) system.
Inventory Management:
- Monitor inventory levels of CPAP supplies, including masks, tubing, filters, and other accessories, to ensure that sufficient stock is available.
- Place orders for CPAP supplies as needed, working with vendors to ensure timely delivery and cost-effective purchasing.
- Organize and manage the storage of CPAP supplies, ensuring that items are easily accessible and properly stored.
Customer Service and Patient Education:
- Provide exceptional customer service to patients, addressing their questions or concerns regarding CPAP supplies and usage.
- Educate patients on the importance of regularly replacing CPAP supplies to maintain the effectiveness of their therapy and ensure hygiene.
- Assist patients in selecting the correct supplies based on their specific needs and preferences.
Order Processing and Documentation:
- Process supply orders accurately and efficiently, ensuring that all necessary documentation is completed and entered into the EMR system.
- Verify insurance coverage for CPAP supplies and handle any billing or reimbursement inquiries related to patient orders.
- Ensure that all patient interactions and transactions are documented in compliance with HIPAA and other regulatory requirements.
Compliance and Quality Assurance:
- Ensure that all CPAP supply activities comply with federal, state, and local regulations, as well as Gwinnett Pulmonary & Sleep policies.
- Participate in quality assurance initiatives, regularly reviewing supply processes and identifying opportunities for improvement.
- Conduct regular checks to ensure that all supplies are up to date and meet quality standards.
Team Collaboration:
- Work closely with the CPAP Clinic Supervisor, clinicians, and other healthcare professionals to ensure coordinated care and supply management for patients.
- Participate in team meetings and contribute to discussions on improving patient care and operational efficiency related to CPAP supplies.
- Provide support to other team members as needed, particularly during peak times or when handling complex patient requests.
- High school diploma or equivalent required; associate degree in a related field preferred.
- A minimum of 1-3 years of experience in a healthcare setting, preferably with experience in durable medical equipment (DME) or respiratory care.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and deadlines.
- Excellent communication and customer service skills, with a patient-centered approach.
- Proficiency in electronic medical records (EMR) systems and inventory management software.
- Knowledge of CPAP equipment and supplies, including masks, tubing, and filters, is a plus.
