About This Position

The Bagga Team, one of Canada’s top-performing and fastest-growing real estate teams, is seeking a highly organized, detail-driven Bookkeeper & Closing Coordinator to oversee financial operations and support the successful closing of real estate transactions.

This is a critical dual-role position for someone who thrives on accuracy, enjoys ownership of processes, and can confidently manage both financial reporting and transaction coordination in a fast-paced real estate environment. You will work closely with leadership, agents, and external partners to ensure smooth closings and clean, compliant financial records.

Compensation:

$35,000 - $65,000 yearly

Responsibilities:

Bookkeeping & Accounting (QuickBooks-Focused)

  • Manage day-to-day bookkeeping functions, including accounts payable and receivable, bank and credit card reconciliations, and financial record maintenance.
  • Track commissions, agent splits, brokerage disbursements, and payout schedules with accuracy and attention to detail.
  • Prepare monthly financial summaries and assist with year-end reporting to support leadership and external accountants.
  • Monitor budgets, operating expenses, and vendor accounts, ensuring all invoices and payments are processed on time.
  • Maintain compliance with CRA requirements, corporate filings, and internal financial control procedures.

Real Estate Closing & Transaction Coordination

  • Review contracts, amendments, and transaction documents to ensure completeness, accuracy, and compliance with brokerage standards.
  • Coordinate with lawyers, lenders, mortgage brokers, cooperating agents, and clients to confirm all closing requirements are satisfied.
  • Track deposits, condition deadlines, possession dates, and key milestones to keep transactions on schedule.
  • Maintain organized and accurate transaction records using CRM and document management platforms such as Follow Up Boss and Google Workspace.
  • Provide consistent updates to agents and clients to ensure clear communication and a smooth closing experience.
Qualifications:
  • Perform full-cycle bookkeeping across multiple companies, including financial reporting, reconciliations, and record maintenance with a high level of accuracy.
  • Manage advanced QuickBooks functions such as accounts payable and receivable, bank and credit card reconciliations, GST filings, month-end and year-end preparation, and maintain accurate profit and loss statements.
  • Review real estate contracts, amendments, financial records, and transaction files to ensure accuracy, completeness, and compliance with internal and regulatory requirements.
  • Communicate professionally and effectively with clients, real estate agents, lawyers, lenders, and vendors through clear written and verbal correspondence.
  • Apply working knowledge of real estate transactions, including commission structures, conveyancing processes, and transaction workflows, to support smooth closings.
  • Organize and manage high-volume workloads, multiple deadlines, and complex processes in a fast-paced environment while maintaining attention to detail.
  • Proactively identify potential issues, troubleshoot discrepancies, and implement solutions with minimal supervision.
  • Collaborate closely with team members while upholding strict confidentiality, integrity, accountability, and professionalism.
