We are seeking a highly motivated Community Relationship Specialist to build and maintain strategic relationships with medical providers, strengthen community partnerships, and enhance our firm’s presence in St. Louis and beyond.
Position Summary
The Events and Promotional Item Coordinator plays a critical role in supporting the firm’s community presence and brand visibility through the coordination of external events and the management of promotional items. This position ensures that promotional materials are organized, high-quality, and strategically deployed, while also supporting seamless on-site execution of community and partner events.
Reporting to the Community Relationship Manager and trained by the Community Outreach Specialist, this role requires strong organizational skills, attention to detail, and the ability to coordinate logistics in fast-paced, public-facing environments.
This position requires travel within Kansas City and other market locations as needed, the ability to lift up to 20 pounds, and a deep understanding of the city’s culture and traditions.

Key Responsibilities
Promotional Item Management
- Maintain inventory of all promotional items, including tracking quantities, usage, and re-order needs.
- Ensure promotional items meet brand standards for quality, consistency, and presentation.
- Coordinate storage, organization, and accessibility of promotional materials.
- Prepare and assemble promotional item giveaway bags for events, activations, and community initiatives.
- Assist with forecasting promotional item needs based on the events calendar and outreach goals.
- Support vendor coordination related to promotional item ordering and delivery, as needed.
- Support planning and execution of external community events, sponsorships, and activations.
- Manage on-site event logistics, including setup, breakdown, and distribution of promotional materials.
- Serve as a point of contact for event team ambassadors during assigned events.
- Communicate clearly with internal staff and external partners to ensure expectations are met before, during, and after events.
- Assist with on-site event management to ensure brand presence is professional, engaging, and aligned with organizational values.
- Troubleshoot and adapt in real time to ensure smooth event execution.
- Work closely with the Community Relationship Manager to align event execution with broader community engagement goals.
- Receive training and ongoing guidance from the Community Outreach Specialist on best practices for outreach, events, and promotions.
- Provide post-event feedback, notes, and inventory updates to support continuous improvement.
- Support other community outreach and marketing initiatives as needed.
- High school diploma or equivalent required; associate’s or bachelor’s degree in marketing, communications, event management, or a related field preferred.
- 1–3 years of experience in event coordination, promotions, marketing support, or community outreach (preferred).
- Strong organizational and inventory management skills.
- Excellent communication and interpersonal skills.
- Ability to manage multiple tasks and meet deadlines in a dynamic environment.
- Comfortable working on-site at external events, including occasional evenings or weekends.
- Ability to lift and transport event materials and promotional items (within reasonable limits).
