The Talent Acquisition Assistant supports the recruiting function by coordinating candidate activity, maintaining the applicant tracking system, and ensuring a seamless candidate experience throughout the hiring process. This role is highly detail-oriented and plays a key part in supporting high-volume hiring efforts.
Key ResponsibilitiesRecruiting Coordination- Schedule interviews between candidates and hiring managers
- Coordinate calendars and ensure timely communication
- Send interview confirmations and follow-ups
- Serve as a point of contact for candidates throughout the process
- Ensure timely updates and a professional, engaging experience
- Assist with candidate communications, including status updates and rejections
- Maintain accurate candidate records in Rippling
- Move candidates through pipeline stages as directed
- Ensure notes, resumes, and feedback are properly documented
- Post and refresh job listings across platforms
- Assist with resume screening
- Support recruiters with sourcing coordination as needed
- Set up and monitor background checks
- Prepare offer letters and supporting documentation
- Coordinate offer approvals and delivery
- 1+ years of recruiting or talent acquisition coordination experience required
- Strong organizational and time management skills
- Ability to step up and take initiative to get things done
- Good intuition
- Strong judge of character
- Excellent written and verbal communication
- Experience with ATS systems (Rippling strongly preferred)
- Ability to manage multiple priorities in a fast-paced environment
- Highly organized and responsive
- Strong attention to detail
- Customer-service mindset with candidates and hiring teams
- Comfortable working quickly with high hiring volume
- Interest and/or knowledge in the worlds of trading cards (TCG and/or Sports Cards) preferred
