About This Position

Fleet Coordinator

We are searching for an experienced Fleet Coordinator to perform administrative, technical, and analytical tasks related to fleet asset management. This person will also be responsible for data integrity, and will collaborate with all levels in the organization to ensure daily implementation and compliance of fleet management system.

Main Responsibilities

  • ERP Asset Assignments: Accurately enter, update, and maintain fleet and equipment records within the companys ERP system.
  • Tooling Procurement: Coordinate procurement requests for tools and specialized equipment, ensuring timely delivery and cost control.
  • Asset Onboarding & Inventory: Manage the onboarding of new fleet assets and equipment into the company inventory, ensuring proper documentation, inspection, and readiness for field use.
  • Permitting Support (Overflow): Assist with permit requests and overflow tasks to support regulatory compliance.
  • Field New Assets: Coordinate deployment of new assets to field operations, ensuring proper scheduling and handoff.
  • Retrieve Replacement Assets: Arrange and track retrieval of replacement assets from field teams, ensuring smooth transitions with minimal disruption.
  • Offboard Replacement Assets: Oversee offboarding of replacement assets, including inspection, documentation, and return logistics.
  • Return Replacement Assets: Facilitate return of replacement assets to vendors, storage, or inventory, ensuring all documentation and ERP updates are complete.
  • Tracking Disposal Candidates: Identify, track, and document assets that are approaching end-of-life or disposal criteria; coordinate with management to prepare for retirement or sale.
  • Vehicle Documentation: Maintain and distribute required vehicle documentation (insurance cards, registrations, and permits) to ensure compliance and readiness for audits or inspections.

Required Qualifications:

  • High School Diploma, GED or higher and a minimum of 1-3 years of relevant experience.
  • Ability to work in a fast-paced team environment.
  • Strong communication skills, able to communicate with vendors, mechanics and other employees.
  • Possess strong scheduling, organizational, and time-management skills.
  • Valid drivers license and a clean driving record.

Preferred Qualifications:

  • Prior Fleet or field experience consistent with OMS.
  • Familiarity with Fleet Management software.
  • Proficient with Microsoft Office Suite
  • Familiar with DOT.
