Position Summary

The Patient Service Representative is responsible for efficient operation and flow of patients through the practice. Greet incoming patients, answer telephones, and schedule appointments and referrals. Collect and update patient information. Handle insurance verification, medical billing and coding, and front office procedures. The Patient Service Representative provides clerical services and perform general office duties. The Patient Service Representative works with manager to coordinate front office functions and provide input for improvements.

Department Summary

Services include general orthopedics, sports medicine, joint preservation and replacement, fracture care, spine and extremity management, injections, and post operative follow up care. The department supports patients across the continuum of care, coordinating closely with physical therapy, imaging, primary care, and surgical services.

Qualifications

  • High school graduate or equivalent required
  • Knowledge and experience in medical terminology, billing and coding is required
  • Certification or diploma in Medical Office Administration/Assistant Program or equivalent preferred
  • Medical front office experience preferred

Responsibilities & Expectations

  • Answer incoming telephone calls and process appropriately. Possess a warm outgoing personality with excellent telephone etiquette.
  • Schedules office visits and referrals.
  • Verify and collect patient demographic and insurance information.
  • Register patients into scheduling software. Work with manager to develop and implement changes to improve scheduling efficiencies.
  • Collect co-pays and patient payments.
  • Tracks physicians' referrals and "no shows" on monthly basis. Reports to manager.
  • Prepare and send patient correspondence in accordance with policy.
  • Prepare medical records for insurance companies, attorneys and patients.
  • Assist other offices as needed.
  • Complete Disability and BWC forms as needed.
  • Maintain electronic medical record, scan information according to protocol as appropriate.
  • Work in cooperation with the physician, practice team leader and manager to develop and implement administrative policies.
  • Handling general administrative and clerical tasks
  • Adhere to organizational policy and procedure.
  • Promote positive physician, organization, and community relationships.
  • Dispense durable medical equipment and supplies
  • Initiating prior authorizations, calling patients regarding approvals or denials
  • Communicate directly to staff and physicians via EMR system
  • Other duties as assigned.

Working Conditions

Working Conditions

  • Work eight hours a day.
  • Shifts are variable to volume of department. Rotation as needed.
  • Lunch periods and breaks are coordinated with other staff members to maintain adequate floor coverage.
  • Cross training in all areas in the department is required.
  • Staff may be assigned to different locations within the foundation.
