Compensation: $25 – $30 per hour.

PURPOSE

The Project Coordinator is responsible for Administrative and clerical tasks performed at different stages of a Ritsema interiors project to efficiently move the project from start to finish. This role was created to assist the project team with daily documentation processing that is required internally and externally for each type of
project we are contracted for. This position assists in creating smooth project workflow through all life cycles of a project.

KEY RESPONSIBILITIES:

Project Planning & Coordination

• Client/Ritsema Contract Execution. Managing the process
Certificate of Insurance (COI) request and management
Request and management of Performance Bond
Complete Project Team Introduction Letters. Communicate all project team members to GC after project award.
Input Project Data into project management and financial software
Assemble, submit and manage Submittal Documents.
Document and Track materials for project managers and superintendents
Assemble, submit and manage Closeout Documents.
Ability to interpret required scopes of work to be completed.
Coordinate with suppliers, subcontractors, and internal teams to ensure timely execution.
Proactively identify and mitigate potential project risks and delays.
Ensure high quality /Ritsema standards for project management process and installation.

Documentation & Communication

• Maintain organized digital project files in accordance with company standards.
Assist in compiling pre-construction documentation.
Process and track RFIs and change orders through resolution.
Confidently coordinate and present team meetings to effectively communicate plans, progress, challenges, etc.

Team Leadership & Support

• Lead and motivate project team members to maintain a productive and positive work environment.
Collaborate with project managers and field team to resolve field issues.
Solicit and evaluate subcontractor and material quotes.

QUALIFICATIONS

• High school diploma or equivalent required; relevant certifications in project management or cost estimating preferred.
Minimum of 3-5 years of experience in construction administration or a related field.
Proficiency in Microsoft Office Suite, Adobe, and database management systems.
Strong organizational and time management skills with the ability to work independently.
Professional demeanor with a commitment to integrity, dependability, and attention to detail. Excellent verbal and written communication skills.
Demonstrated ability to exercise sound judgment and advanced problem-solving skills.
Ability to recognize and complete tasks on a priority scale.
A must have, clean workspace.
Task driven, high productivity mind set.
Ability to learn fast to meet job duty demands.

Physical Requirements

• Ability to sit or stand for extended periods.
Capable of walking, bending, climbing stairs/ladders, and navigating active construction sites.
Occasionally required to lift and carry materials or equipment up to 25 pounds.
Must be able to work in varying environmental conditions (e.g., heat, cold, dust, noise) during site visits.
Visual and auditory acuity sufficient to safely navigate job sites and communicate
effectively.

Travel Requirements

• Reliable transportation needed to visit job sites
Willingness to travel up to 10% of the time for job site visits.

Reports to: Executive Director of Project Management
