REPORTS TO: Project Manager

EFFECTIVE DATE: February 2026

SUMMARY: The Project Coordinator, Ground Maintenance supports the Project Manager in the planning, coordination, and administrative execution of landscape maintenance and snow & ice management contracts. This role ensures work is scheduled, documented, resourced, and tracked efficiently to maintain service quality, cost control, and client satisfaction.The Project Coordinator acts as the operational liaison between field crews, clients, vendors, and internal administration—supporting scheduling, documentation, material coordination, and financial tracking to ensure projects are delivered safely, on time, and within budget.DUTIES AND RESPONSIBILITIES: 1. Project Planning & Scheduling Support
  • Assist the Project Manager in coordinating multiple maintenance and snow contracts simultaneously.

  • Develop and maintain service schedules, route plans, and task assignments.

  • Monitor project timelines, seasonal priorities, and service frequencies.

  • Track progress and identify scheduling conflicts or operational risks.

2. Client & Team Communication
  • Support client communication regarding service schedules, updates, and documentation.

  • Coordinate daily communication between field crews, subcontractors, and management.

  • Document scope changes, service requests, and field updates.

  • Escalate client concerns or operational issues to the Project Manager as required.

3. Administrative & Documentation Management
  • Prepare and manage work orders, service reports, purchase orders, and change documentation.

  • Maintain accurate digital project files and contract records.

  • Support billing processes through time tracking verification and work ticket review.

  • Assist with project close-out documentation and seasonal reporting.

4. Materials & Vendor Coordination
  • Coordinate material orders, deliveries, and subcontractor scheduling.

  • Confirm pricing, availability, and delivery timelines with suppliers.

  • Monitor inventory levels and notify management of supply shortages.

5. Job Cost & Financial Tracking Support
  • Assist in tracking labour hours, material usage, and job costs.

  • Support quote preparation and contract adjustments as directed by the Project Manager.

  • Ensure accurate documentation to support billing and profitability tracking..

6. General
  • Perform other duties as assigned.
*Seasonal Transition: Snow & Ice Coordination

From November through April, Park Landscaping shifts focus from pools to snow and ice management. During this time, the role becomes a Snow Removal Project Coordinator, overseeing a specific division such as Sidewalks, Parking Lots, or Special Projects. Core administrative responsibilities remain, adapted for winter operations.

Availability required for weather-dependent scheduling, including evenings and weekends during peak snow events

  • Support dispatch, route adjustments, and documentation during snow events.

  • Assist in coordinating crews and subcontractors for sidewalks, parking lots, or special projects.

  • Maintain accurate event logs and weather-related service documentation.

QUALIFICATIONS:
  • Experience: At least three (3) years in project coordination, maintenance operations, landscaping, snow removal preferred.

  • Experience in construction, estimating, or related field may be considered.

    • Experience supporting multiple concurrent projects in a fast-paced environment.

    • Exposure to maintenance or seasonal service operations is an asset.

  • Education & Certification: Diploma or certificate in Business Administration, Project Management, Horticulture, or related field preferred.
    • Equivalent practical experience considered.
    • Relevant safety or project management, specifically Landscape Pesticide or SIMA, certifications are an asset.
  • Regulatory Knowledge: Understanding of workplace safety standards and operational compliance requirements.

    • Familiarity with subcontractor documentation, Certificates of Insurance (COIs), and service reporting practices.

  • Systems & Technical Experience: Experience with scheduling or project management software.

    • High proficiency in Google Workspace or similar business platforms.

    • Ability to interpret site plans, service maps, and technical documentation is an asset.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:
  • Primarily office-based with regular coordination via phone and digital platforms.

  • Frequent interaction with field operations in shop, yard, or site environments.

  • Occasional site visits requiring walking on uneven terrain and exposure to weather conditions.

  • Ability to lift light materials (up to approximately 20 lbs).

  • Extended or irregular hours during peak maintenance seasons or snow events.
