Position Summary
Document Specialist is responsible for all project related documentation as well as assisting with project work as needed.
Job Responsibilities:
- Compile, scan, and organize hard copy certs and documentation.
- Download photos from shop cameras and upload files to the server. Then archive into the appropriate job folders.
- Scan and archive laser logs into the applicable job folders. Scan and archive MTRs for all materials used, ensuring documents are stored in both the global materials folder and the corresponding job folder.
- Scan and archive shipping documentation, including packing lists, bills of lading, certificates of conformance, and MTRs.
- Return all color-coded job envelopes to the appropriate Project Manager after documentation has been processed.
- Provide MTR’s, CoC’s or other documents upon request by customers
- Acquire missing MTR’s, CoC’s or other documents from vendors
- Other duties as assigned.
Qualifications:
- Excellent written and verbal communication skills
- Excellent organizational and time management skills with the ability to multi-task and prioritize responsibilities appropriately.
- Strong attention to details.
- Ability to analyze and interpret documentation
- Proficiency in MS Office (Excel, Word, Outlook)
- HS Diploma or equivalent; bachelor’s degree preferred
- 1-3 Years of administrative experience in a technical field.
Physical/Work Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds on an occasional basis.
