POSITION PURPOSE

To assist Operations Department in the day-to-day management of operational aspects of Southwest Equity Partners. The Assistant Director is responsible for assisting with vendor management, staff recruiting, property onboarding, training, Appfolio/software integrations, HR/Payroll and various projects as assigned.

RESPONSIBILITIES

· Manage relationships with 3rd-party vendors for property and corporate operations.

· Assist in the development of creative collateral for properties (photos, website, marketing descriptions, etc).

· Assist with onboarding of new hires, training and new policy rollouts, including the creation of SOP’s and training guides.

· Assist with new property intake & client onboarding into Appfolio.

· Become a Key Player in the continuous adoption of Appfolio throughout the company.

· Participate in the management of employee lifecycle, including oversight of interviews, preparation of onboarding documents, employee check-ins/reviews, and termination/separation documents.

· Assist and cover HR duties when necessary (in conjunction with the HR team)

· Oversee the Remote Team members back-office duties (scheduling, payroll and management)

· Manage the billing platform for corporate purchases (Ramp)

· Maintain positive relations with all community vendors.

· Coordinate special projects as requested by supervisor(s).

· Perform any other related duties as required or assigned.

· Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files

Effective communication and customer service skillsWork involves highly confidential and sensitive information; sound judgement and discretion is imperativeThis position reports to the Director of Operations.May work in tandem with Client Services for financial and asset-related projectsMay work in tandem with Resident Services for residential and tenant related projectsQUALIFICATIONS REQUIREDStrong interpersonal skills and the ability to work under time constraintsStrong project management, analytical and research skills with a demonstrated ability to manage projects from inception through completionHigh school diploma, Bachelor’s degree preferred5+ years of any type of operations management experience; multifamily experience a plus.Excellent oral and written communication skillsExperience in supervisory role and managing staffExperience in writing and maintaining budgetsProficient in Appfolio property management software or other similar property management softwareGeneral office, bookkeeping and sales skillsComputer literate, including Microsoft Office SuiteMust be detail oriented and able to focus with frequent interruptionsMaintains confidence and protects operations of business by keep information confidentialAbility to operate in an open work area with moderate everyday noiseAbility to work from multiple locationsAbility to perform other duties as required

SPECIFIC REQUIREMENTS

Physical Demands:

The team member will be regularly required to sit, stand, walk, talk, hear, and reach using feet, legs, back, arms and hands. The employee may occasionally be required to climb. Employee will be required to work at a personal computer and talk on the phone for extended periods of time. Must possess the ability to detect auditory and/or visual alarms and be available to work extended/flexible hours and weekends, as needed.

Attendance/Travel:

This position is full-time and may require the availability to work some nights, weekends, and occasional holidays. Regular attendance and active participation/planning at company functions and events is also required.WORK SCHEDULE Hours: Monday – Friday, 8:30A-5:30P

· Nights/Weekends/Additional Hours as required and directed by supervisor.

Location: In-Person Only (Travel Required within San Diego Region 25% of the time)

· In Person Location: Solana Beach, California (subject to change)

COMPENSATIONAnnual Salaried position; $80,000.00-$85,000, paid bi-monthly.Health insurance coverage

o 100% of employee is covered by the company for Health.

o 0% of any dependents is covered by the company for Health.

o Dental and Vision options are available.

Eligibility commences after 60 days of employment More information for coverage may be found on Rippling HR upon onboarding.Annual performance bonus eligible401(k) program with company matching annually; eligibility dependent on current plan provider (detailed benefits information to be provided upon commencement of employment)PTO Policy: Vacation is earned by the eligible employee each week and in the following hourly, or fraction thereof, amounts:

o At a rate of 0.77 hours per workweek from the date of passing probation (90 days from the date of hire) to their first-year anniversary (equivalent to approximately 40 hours or 5 days per anniversary year).

o At a rate of 1.53 hours per workweek, from their first-year anniversary to their fifth anniversary (equivalent to approximately 80 hours or 10 days per anniversary year).

o At a rate of 2.46 hours per workweek, from their fifth anniversary (equivalent to 128 hours or 16 days per anniversary year).

The pay range for this role is:80,000 - 85,000 USD per year(380 Stevens Ave, Suite 311, Solana Beach, CA 92075)
