The Role

We’re looking for a highly organized, proactive Office & Administrative Assistant to support day-to-day office operations and provide administrative support across the business, including some direct support to our CEO.

This is a hands-on role where you’ll wear many hats. Some days you’re managing the office and keeping things running smoothly, other days you’re coordinating logistics, planning, supporting onboarding, or helping bring structure to day-to-day administrative workflows.

This is not a “wait to be told what to do” role. We’re looking for someone who takes ownership, thinks ahead, solves problems, and is comfortable making decisions to keep things moving.

What You’ll Do

Office Operations

  • Own the day-to-day office experience, ensuring the space is organized, stocked, and running smoothly
  • Greet employees, guests, and visitors with a high level of customer service, professionalism, and warmth
  • Create a welcoming, positive, and well-run office environment
  • Manage vendors (supplies, maintenance, catering, etc.)
  • Coordinate office logistics, repairs, and service needs

Administrative Coordination & Projects

  • Support day-to-day administrative needs across the team
  • Take ownership of tasks and projects and follow them through to completion
  • Help improve organization and consistency in office and administrative workflows
  • Assist in documenting simple SOPs for recurring office and admin tasks
  • Manage scanning, filing, and organization of documents and records

Executive & Administrative Support

  • Support calendar management, scheduling, and travel for the CEO
  • Assist with email coordination and prioritization
  • Help with meeting coordination, materials, and follow-ups

IT & Vendor Coordination

  • Act as the main point of contact for our external IT partner
  • Coordinate new hire setups, equipment, and troubleshooting
  • Ensure issues are handled quickly and efficiently

People & Culture Support

  • Support onboarding and Day One experiences
  • Assist with general HR-related administrative tasks
  • Help maintain employee records and internal systems
  • Assist with planning company events and team experiences

What You Bring
  • 3+ years in office administration, executive support, office operations, or a similar role
  • Strong critical thinking and problem-solving skills, with the ability to assess situations and make sound decisions
  • Exceptional organizational and project management skills with strong follow-through
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of discretion, professionalism, and confidentiality
  • Confidence in working independently, taking ownership, and exercising good judgment
  • Tech-savvy and comfortable coordinating with IT vendors and external partners
  • Strong communication skills and a service-oriented mindset
