Job Overview

L M Construction Co., LLC (LMCC) is seeking a highly organized and detail-oriented Receptionist / Estimating Support professional to serve as the front line of our office while supporting our estimating team. This dual-role position is essential to keeping daily operations running smoothlyproviding a welcoming and professional first impression to visitors while assisting with the coordination and execution of the bidding process. Key Responsibilities
  • Reception & Office Administration:
    • Greet and welcome guests, clients, and vendors in a professional manner

    • Answer, screen, and route incoming calls and emails efficiently

    • Maintain a clean, organized, and presentable reception area

    • Manage conference room scheduling and meeting setup

    • Receive, sort, and distribute incoming mail and deliveries

    • Maintain visitor logs and control office access for security purposes

    • Order and manage office supplies and inventory

    • Perform general administrative duties including filing, copying, and document preparation

    • Assist with onboarding logistics, including greeting candidates and supporting new hire paperwork

    • Review and track subcontractor insurance certificates and maintain renewal logs

  • Estimating Support:
    • Initiate and track project bids using Procore

    • Distribute subcontractor qualification packages and verify licensing requirements

    • Maintain and update subcontractor and contact information in Procore

    • Assemble and organize bid books for assigned projects

    • Create and manage spreadsheets to support estimating efforts

    • Solicit subcontractor bids through calls and email outreach

    • Organize and file incoming bids by trade within bid packages

    • Maintain the estimating departments master bid schedule and deadlines

    • Coordinate with estimators to avoid duplication of outreach and ensure efficient bid coverage

    • Assist with reminders for bid due dates and proposal submissions

Qualifications
  • 1+ years of administrative, receptionist, or office support experience (construction industry experience preferred)

  • Strong organizational skills with the ability to manage multiple tasks and deadlines

  • Excellent verbal and written communication skills

  • Proficiency in Microsoft Office (Word, Excel, Outlook); experience with Procore is a plus

  • Ability to maintain professionalism and confidentiality in a front-facing role

  • Detail-oriented with strong follow-through and time management skills

  • Comfortable working in a fast-paced, team-oriented environment
