Job Title: Registrar

Department: High School

Reports to: High School Director

Classification: Non-exempt

Supervisory responsibility: No supervisory responsibilities

Salary: Depends on qualifications and experience

Position Purpose: The Registrar maintains student records for the high school and handles duties as both the School’s Registrar and an Administrative Assistant. He or she works under the direction of and is supervised by the High School Director and may collaborate with a Front Desk Associate to ensure efficient and friendly coordination of all office duties.

Essential Job Duties

The Registrar must perform the following essential job duties with or without reasonable accommodations.

  • As Registrar:
  • Maintaining attendance records in the Student Information System (SIS) and providing reports as requested.
  • Assisting parents with questions about updating demographic information in the SIS, report cards, and login information.
  • Maintaining physical and digital records for students including transcripts, report cards, progress report cards, and other academic and discipline records.
  • Sending out report cards, progress report cards, and transcripts per High School Director’s and Grades Director’s request once approved.
  • Process and transmit requests for student information, including student report cards for other schools.
  • Assist with new enrollments and transfer of students and process applicable records.
  • Creating lists for locker assignments.
  • Maintaining settings necessary for the start of the school year in SIS and CANVAS (creating school year and semesters, students’ progression, attendance, and grades settings).
  • Maintaining necessary settings for attendance and report cards in SIS.
  • Creating classes in SIS, assigning teachers, and enrolling students.
  • Syncing SIS data with CANVAS as needed.
  • Assisting parents and teachers with questions about SIS and CANVAS.
  • Maintaining daily class schedules and internal event calendars.
  • Assisting with student withdrawal in collaboration with the Admission Office, High School Director and Grades Director in SIS, making sure students receive all applicable records upon withdrawal.
  • For Front Desk Reception:
  • Answering phone calls and directing them to appropriate staff members as needed.
  • Greeting and directing High School visitors.
  • Responding to incoming high school emails.
  • Sending emergency communication messages as requested.
  • Checking in tardy students and checking out students leaving early.
  • Helping with student’s questions/requests.
  • For Administrative Support:
  • Maintaining the regular inventory, ordering, and distribution of office and classroom supplies including printed materials for the High School.
  • Coordinating bulk ordering of classroom supplies for the upcoming school year for Grades 9-12.
  • Assisting in editing and publishing the High School Handbook as requested.
  • Assisting with emergency drills (fire, tornado, lockdown) and “Shelter in Place” drills in the High School.
  • Maintaining the current bell ringer system.
  • Collecting Student Driver permission forms.
  • Coordinating the Picture Day with the help of Front Desk Associate.
  • Coordinating with the Grades Director and High School Director on catering and Faculty & Staff events, with assistance from the Front Desk Associate.
  • Monitoring the cleanliness and organization of the High School kitchen area, ensuring it is maintained to appropriate standards. Notifying the appropriate personnel for any necessary cleaning or maintenance when needed.
  • Senior class support (leaving ceremony booklets, commencement exercises, class rings).
  • Assisting with the management of lost and found items in the high school area and donating unclaimed items.
  • Unlocking high school classrooms and bathrooms at 8:00 and ensuring they are locked at 4:00.

  • Ability to maintain accurate and auditable records.
  • Efficient and effective with a warm demeanor in keeping with front office responsibilities and regular contact with students.
  • Proficiency with computers and standard office software including Google Suite.
  • Ability to manage multiple projects with converging deadlines while maintaining a positive, can-do attitude.
  • Ability to take initiative, work independently, and hold oneself accountable.
  • Ability to work collaboratively and effectively with others.
  • Ability to maintain confidentiality and exercise discretion in all matters.

Physical and Mental Requirements

The Registrar must meet the following mental and physical requirements with or without reasonable accommodations.

  • The ability to learn, understand, remember, and communicate effectively information about the job.
  • The ability to understand the meaning of and use and speak words understandably and effectively in the English language.
  • Good hearing and listening abilities, that is, the Registrar must be able to hear spoken words from students, parents, co-workers, and others.
  • Good motor coordination skills, that is, the ability to coordinate his or her eyes, hands and fingers rapidly and accurately in order to handle precise movements such as typing.
  • Make and use repetitive hand motions over an extended period, as when typing.
  • Work effectively under pressure and deadlines.
  • Sit, stand, move around, bend, reach, grasp, stretch, push and pull, and remain sitting or upright for extended periods of time in one room.
