About This Position

The Steve Marshall Group is seeking an organized, proactive, and people-focused People & Culture Specialist to join our team, based out of Lions Gate Dodge in North Vancouver.

Reporting to the Director of People & Culture, this role will support all dealerships across the Steve Marshall Group, working closely with General Managers and leadership teams to help strengthen recruitment processes, employee lifecycle management, the employee experience, and workplace culture initiatives.

This position is ideal for someone who enjoys partnering with leaders, influencing hiring decisions, and using their HR expertise to help build stronger teams across the organization. The successful candidate will enjoy building systems, improving processes, and supporting leaders with practical People & Culture solutions that add value to the operation of each dealership.

Key Responsibilities

Recruitment & Hiring Support

  • Create and manage job postings across recruitment platforms.
  • Review applications and assist hiring managers with shortlisting candidates.
  • Conduct preliminary screening interviews with candidates.
  • Complete reference checks for final candidates.
  • Work with managers to support recruitment needs across the Group.
  • Partner with hiring managers to guide and reinforce recruitment best practices, including effective interviewing techniques, candidate evaluation, and selection process.
  • Identify and develop creative strategies to expand candidate pipelines, including community outreach, networking, and targeted recruitment initiatives.
  • Attend career fairs and industry events to promote employment opportunities within the Steve Marshall Group.
  • Explore and build partnership opportunities with automotive training programs, trade schools, and post-secondary institutions to support future talent pipelines.
  • Continuously look for new and innovative ways to attract high-quality candidates and strengthen the Group’s recruitment efforts.

Employment Administration

  • Prepare and issue employment agreements and related documentation for all new hires within the Group.
  • Coordinate the onboarding process for new hires across multiple dealerships.
  • Ensure accurate and timely maintenance of employee records and documentation by the appropriate departments.
  • Continuously evaluate and identify opportunities to strengthen and improve the onboarding experience, ensuring new employees are set up for success and have a positive first impression of the organization.

Employee Lifecycle Support

  • Conduct exit interviews and document employee feedback.
  • Maintain employee records, including birthday and anniversary calendars.
  • Support People & Culture initiatives that improve employee engagement and communication.

Performance & Probation Support

  • Track employee probationary periods across the organization.
  • Coordinate probationary check-ins between managers and employees.
  • Prepare probation completion or extension letters.
  • Support employee recognition initiatives and milestone tracking.

ADP Workforce Now Administration

  • Develop and maintain a strong working knowledge of ADP Workforce Now, becoming a subject matter expert.
  • Encourage employees and managers across the Group to fully utilize ADP’s tools and functionality.
  • Provide training and guidance to new managers on how to use ADP for functions such as recruitment, time-off requests, performance evaluations, employee information management, etc.
  • Support employees with basic navigation, login assistance, and general system questions.
  • Perform periodic audits of employee data in ADP to ensure information such as job titles, reporting structure, and employment status remain accurate.
  • Generate and support basic HR reports from ADP as requested.

Organizational & Process Improvement

  • Assists in developing organized People & Culture processes and systems across the dealership Group.
  • Provide administrative and operational support to General Managers on employee-related matters.
  • Help ensure consistency and efficiency in HR practices across multiple stores.

Qualifications & Experience

  • Post-secondary education in Human Resources, Business Administration, or a related field preferred.
  • 1-2 years previous experience in human resources, recruitment, administration, or employee relations required.
  • Strong organizational skills with a passion for improving processes and supporting leaders.
  • Excellent communication and relationship-building skills.
  • Ability to work with multiple leaders and manage competing priorities.
  • High level of professionalism and ability to maintain confidentiality.
  • Strong working knowledge of Microsoft Office and digital systems.
  • Experience with ADP Workforce Now would be considered a valuable asset, but is not required.
