About This Position

Strategic Analysis, Inc. (SA) is currently accepting applications for the position of an Executive Assistant, assigned to Defense Advanced Research Projects Agency (DARPA). DARPA BTO identifies and pursues high-risk, high-payoff research initiatives across a broad spectrum of science and engineering disciplines and transforms them into important, new game-changing technologies for U.S. national security. BTO is helping the Department of War expand technology-driven capabilities to detect novel threats and protect U.S. force readiness, deploy physiological interventions to maintain operational advantage, support warfighter readiness, and focus on operational biotechnology for mission success. BTO relies on the greater scientific research community to help identify and explore ideas that could potentially revolutionize the state-of-the-art.

*This position is contingent/based on award and anticipated start date would be June 2026

Work schedule: Mix of onsite and telework.

As an Executive Assistant, you will:

  • Manage and maintain complex calendars and schedules related to the ARCs.
  • Resolve conflicting priorities and orchestrate changes to the calendar, as required, which may include coordination, verification, and scheduling of meetings with senior government personnel, staff, industry, and academia personnel.
  • Compose drafts of short notes, internal memos, and formal official correspondence, in addition to scheduling and attending daily, weekly, bi-weekly, etc. meetings and tracking taskers/actions. Memos and other documents shall follow the standard established for the office and shall be appropriate for senior level government officials.
  • Perform complex and routine administrative duties including but not limited to day-to-day operations and forward-planning for internal and external ARC initiative events, as well as assisting with website content updates and maintaining office spreadsheets and files.
  • Plan, coordinate, and confirm logistical support (transportation, badges, security clearance paperwork, audio visual support, etc.) for meetings and/or events, which may involve handing of sensitive information.
  • Receive, coordinate, and respond to invitations and inquiries for the ARC initiative.
  • Assist in preparing required reports and presentations, to ensure required material/content is ready for review prior to scheduled meetings, to include copying material for distribution.
  • Assist with government timekeeping (e.g., leave and trip reports), recruitment (e.g., outreach, scheduling interviews, Fellow candidate seminars), and personnel matters (e.g., set up quarterly/yearly reviews, ensure documents get signed). Provide meeting and event coordination to include planning, execution, and close-out of all logistics.
  • Create travel orders in DTS and complete vouchers upon return; facilitate domestic and international travel for Innovation Fellows.
  • Coordinate office assignments, moves and new hire set for Innovation Fellowship
  • Other duties as assigned in an office environment.


Qualifications:

Education: Minimum High School Diploma

Clearance: DoD Secret clearance at minimum

Experience and Skills:

  • A minimum of 5 years of related experience, preferably within a government agency
  • Ability to work both independently and with team members to analyze and resolve issues expeditiously.
  • Ability to multi-task and establish priorities to ensure deadlines are met.
  • Exceptional verbal and written communication skills.
  • Ability to function efficiently in a high-paced, demanding work environment.
  • Exceptional planning and time management skills.
  • Keen organizational skills.
  • Positive attitude, resourceful nature, and excellent problem-solving capabilities
  • Working knowledge of Microsoft Word, PowerPoint, Excel, and Outlook
  • Government travel system DTS is a plus.
