Job Overview

Genesis Sprinklers & Water Management is seeking a highly organized and detail-oriented Operations Manager to oversee daily office operations, financial management, scheduling coordination, and customer support. This is a key leadership role within our growing company and serves as the operational backbone that keeps our field teams efficient and our clients satisfied.

This position is ideal for a self-driven professional with strong QuickBooks experience, bookkeeping knowledge, and the ability to manage multiple responsibilities in a fast-paced service-based environment. You will work directly with ownership, helping shape the direction and scalability of the business as we continue expanding throughout the SarasotaBradenton market.

As we continue to scale operations, we are looking for a strong Operations Manager to help streamline processes, maintain financial clarity, and enhance customer experience.

Core Duties & Responsibilities
  • Office & Phone Management
    • Serve as the primary point of contact for incoming calls, emails, and customer inquiries

    • Schedule and dispatch service calls, installations, and inspections for field crews

    • Manage the daily operations calendar and coordinate between office and field teams

    • Provide professional, courteous customer service and follow up on open items

    • Ensure clear communication between technicians and clients

  • Bookkeeping & Financial Management
    • Manage full-cycle bookkeeping in QuickBooks (Desktop or Online), including:
      • Accounts payable and receivable

      • Bank reconciliations

      • General ledger maintenance

    • Process invoicing and ensure timely collections; follow up on past-due accounts

    • Handle payroll processing, including tracking hours and submitting payroll accurately and on schedule

    • Prepare financial reports for ownership review (Profit & Loss, cash flow, aging reports)

    • Coordinate with CPA/tax preparer for quarterly and annual filings

    • Assist with budgeting, forecasting, and cash flow tracking

  • Vendor & Inventory Management
    • Place orders for parts, materials, and supplies with irrigation distributors and vendors

    • Track inventory levels to ensure trucks and warehouse are properly stocked

    • Maintain vendor relationships and negotiate pricing to control costs

  • Customer-Facing Estimates & Sales Support
    • Prepare and send estimates and proposals based on technician assessments

    • Follow up on outstanding proposals and convert leads into scheduled work

    • Support customer retention initiatives and maintain strong client relationships

  • Marketing & Social Media
    • Manage company social media accounts (Facebook, Instagram, Google Business Profile)

    • Create and schedule posts showcasing projects, seasonal tips, and promotions

    • Monitor online reviews and respond professionally

    • Assist with marketing campaigns, newsletters, and local advertising efforts

Required Experience & Qualifications
  • 35 years of experience in office management, operations, or bookkeeping (preferably in a service-based or contractor environment)

  • Demonstrated proficiency in QuickBooks (Desktop or Online) with full-cycle bookkeeping experience

  • Experience with invoicing, collections, and payroll processing

  • Strong organizational skills with the ability to manage multiple priorities simultaneously

  • Excellent written and verbal communication skills with a professional phone presence

  • High attention to detail and accuracy in financial record-keeping

  • Comfortable learning new software tools and systems

  • Self-starter capable of working independently without constant supervision

Software Knowledge
  • QuickBooks Desktop or Online (required must be proficient)

  • Microsoft Office or Google Workspace (Excel/Sheets required for reporting)

  • Social media platforms: Facebook, Instagram, Google Business Profile

  • CRM or field service management software (preferred; willing to train)

  • Canva or basic graphic design tools (preferred)

Certifications & Licensing
  • No specific licenses required

  • QuickBooks Certification (preferred)

  • Bookkeeping certification or accounting coursework/degree (preferred)

  • Notary Public (a plus but not required)
