Job Description
Riddle’s Glass Watertown is seeking a highly organized and detail-oriented Operational Assistant to support our team in Watertown, South Dakota. In this role, you will primarily assist our team with administrative and clerical tasks, ensuring efficient workflow and accurate project documentation. You will also handle customer and supplier relations and provide general office support to contribute to the smooth day-to-day operations.
Key Responsibilities:
- Serve as the point of contact for visitors, manage incoming calls, and coordinate appointments, meetings and schedules efficiently.
- Assist with creating and managing project estimates, ensuring accurate and timely data entry.
- Organize and maintain project files, estimates, and documentation related to customer and commercial projects.
- Coordinate communication between estimators and customers, suppliers, and subcontractors via phone, email, or in person.
- Update and manage office databases related to ongoing estimates and projects.
- Process invoices, track receipts, and handle basic bookkeeping tasks for project-related expenses.
- Help troubleshoot issues related to estimates, Billing, and project management software.
- Assist in preparing and confirming orders, as well as tracking project timelines and deliverables.
- Request payments from customers and accurately bill commercial operations.
- Maintain a clean, organized work environment, ensuring all documentation is properly filed and accessible.
Qualifications:
- Strong communication skills with the ability to effectively support estimators in coordinating projects.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and relevant project management software.
- Basic understanding of bookkeeping and invoicing processes.
- Exceptional organizational skills and attention to detail, particularly in managing project documentation.
- Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.
- Experience in an administrative role, preferably in construction or a related industry, is preferred.
This position plays a key role in supporting our estimators, ensuring that all project documentation is accurate and up-to-date, contributing to the overall success of the team.
