This role plays a key part in the successful delivery of medical education programs across the life sciences sector, ensuring seamless coordination from planning through execution. The Program Coordinator manages multiple stakeholders, including healthcare professionals, speakers, vendors, and internal teams, to deliver high-quality, compliant, and well-orchestrated events. Operating in a fast-paced and highly regulated environment, the role requires strong organizational skills, attention to detail, and the ability to manage competing priorities. It offers exposure to the pharmaceutical and medical communications space, where precision and compliance are essential. Accountabilities:
  • Coordinate end-to-end planning and execution of medical education programs, ensuring timely and compliant delivery.
  • Manage communications with healthcare providers, speakers, vendors, and internal stakeholders throughout the program lifecycle.
  • Organize logistics including travel arrangements, venue sourcing, contracting, catering, and audiovisual requirements.
  • Support attendee recruitment, confirmations, and engagement activities to ensure strong program participation.
  • Ensure adherence to PhRMA guidelines, client budgets, and regulatory requirements across all program activities.
  • Oversee on-site or virtual program execution, ensuring smooth delivery and high-quality experience for all participants.
  • Conduct post-event reconciliation, including expense processing, material collection, and reporting.
  • Maintain accurate documentation and ensure quality control across all planning and execution stages.
Requirements:
  • High school diploma or equivalent; additional education or relevant experience preferred.
  • Previous experience in meeting planning or program coordination, ideally within the pharmaceutical or healthcare industry.
  • Strong organizational skills with the ability to manage multiple programs and deadlines simultaneously.
  • Excellent communication skills, both written and verbal, with strong interpersonal abilities.
  • High attention to detail with the ability to perform quality checks and ensure accuracy in all deliverables.
  • Strong problem-solving skills and ability to remain composed under pressure.
  • Proficiency in Microsoft Office tools (Word, Excel, Outlook, PowerPoint, Teams).
  • Familiarity with PhRMA guidelines, Sunshine Act regulations, and compliance standards is highly desirable.
