We are looking to hire an experienced, professional Bilingual School Office Manager to support the needs of our newest school location in Bronx, NY. The Office Manager is the first contact point for parents, students and staff and must be able to handle a high volume/high traffic environment with a positive attitude.
Duties and Responsibilities
- Responsible for establishing and maintaining a professional relationship with parents, staff and external vendors and/or clients
- Greets and directs /escorts all visitors to the appropriate location
- Answers the telephone and directs all incoming calls to appropriate party promptly and effectively in a pleasant and professional manner
- Takes ownership of all receptionist responsibilities relating to communication, supplies, calendar management, forms, Power Point creation, ordering, mail, and photocopying, and office furniture and equipment
- Makes deliveries to the US Post Office FedEx and/or UPS if needed.
- Creates flyers using MS Publisher and MS Word
- Acts as liaison with the facilities department on maintenance requests
- Monitors workplace and arranges periodic office upkeep; liaise with facilities department to arrange services, as needed
- Learn PowerSchool to manage student information and maintain student files
- Uses Excel, TEAMS, Outlook, One Call, PowerPoint, and Word for communication, scheduling and preparation of documents
- Assists the School Building leaders with projects
- Manage all bussing for students with outside vendor
- Parent Communication
- Calendaring
- Communicate with parents regarding pre CSE meetings
- Send calendar invites for annual review reports due dates to all parties
- Other duties as assigned
Requirements
- Must be English/Spanish bilingual!
- High School diploma required
- BA/BS preferred
- The Heart to make a difference in the lives of students with Autism and their families
- Minimum of 3 years of relevant work experience required
- Administrative and/or customer facing experience required
- Expert in MS Office (Publisher, PowerPoint, Word, Excel)
- Expert in MS Outlook - Possession of strong calendar management skills
- Proficient in technology and systems
- Must be exceedingly organized with a strong attention to detail
- Must be able to prioritize and complete multiple tasks simultaneously; follow through on objectives with a sense of immediacy
- Professional and friendly demeanor required
- Ability to remain flexible, proactive, resourceful, and efficient while under pressure
- Must be a team player
- Must be able to speak to parents clearly and without hesitation
- Must possess exceptional interpersonal, verbal, and written communication skills
Working Conditions
- Full-time, Monday through Friday, 7:45 AM-3:45 PM
- Must be able to work late / weekends, if needed
- Able to handle high volume / high traffic office environment
Physical Requirements
- Must be able to keep students safe from themselves and others and, in some cases, may need to implement CPI (therapeutic holds) procedures.
- Must be able to remove oneself from potentially harmful situations and, in some cases, be able to lift a child.
- Ability to stand, walk, bend, kneel, and move throughout the workday
- Ability to lift (at least 50-65 pounds), assist, and/or physically support students, which may include lifting or guiding students of varying sizes
- Ability to physically intervene when required to ensure safety (per CPI training)
- Ability to remove oneself and/or others from unsafe situations quickly
- Ability to maintain attention and focus in a dynamic, high-stimulation environment
- Ability to multi-task and shift priorities quickly
- Ability to exercise sound judgment and decision-making, particularly in high-pressure or safety-sensitive situations
- Ability to work effectively as part of a team and maintain professional relationships
- Ability to perform duties under stress, including during behavioral escalations

The pay range for this role is:
66,300 - 66,300 USD per year(The Bronx, NY)
