About This Position

Project / Production Manager

VOX Productions is a live event production company that creates experiences to support marketing initiatives, brand impressions, and Corporate presentations. VOX provides creative solutions, technical production (lights, stage, sound, video, décor), logistical support services, event management, and more. The Project/Production Manager is responsible for all aspects of successful job execution, including advance planning, floor plans, and timelines, and direct supervision of the deployment of personnel, equipment, fabrication, and décor. The Project/Production Manager may serve the client directly or serve as the primary liaison between the VOX Account Manager and the Client regarding the physical equipment, labor, and logistics required throughout the planning and execution of the event.

Duties & Responsibilities:

• Collaborates with the Client, and when appropriate, with the Account/Sales Manager or Executive Producer to compile a complete written scope of work, floor plans, equipment plans, and accompany the FLEX Proposal, with detailed equipment and staffing/scheduling needs.

• Attends planning meetings and assists with timelines, floor plans, and site surveys to ensure proper planning.

• Ensures creation of a comprehensive Production package for each major event, including but not limited to:

  • Deployment and execution timelines, protocols, crew sheets, execution checklists, equipment pull sheets/packing lists, and other relevant organizational tools to ensure efficient execution.
  • • Works with Sales Managers and Venue operations managers (when appropriate) to ensure that a complete run of show and production timeline is consistent with venue/client expectations.

    • Works with department leads and the Head of Production to ensure that proper gear and adequate and competent staff are secured within budget and prepared to execute on the scope of work.

    • Negotiates, confirms, and communicates with the job roster early on to ensure all information necessary is transmitted in a timely manner.

    • Fills a functional, billable role as Project, Production Manager, or Lead Tech role as suited for job execution.

    • QC or delegate a lead to the QC warehouse team’s pull prior to truck pack and ensure proper tech of equipment to and from the show site, taking the utmost care to preserve company assets.

    • Works directly with inventory control measures to ensure complete equipment coverage on events. Responsible for maintaining accurate equipment/assets counts on the show site and providing a marked-up floor plan and pack sheet to the load-out crew.

    • Supervise and coordinate labor on the show site to ensure that necessary activities are performed in a timely and cost-effective manner.

    • Follows and/or develops standardized processes and templates for event execution success. Contributes to feedback on methods to standardize and improve event execution according to VOX Productions standards for all events.

    • Tracks client communication and logs all project notes and work product in Dropbox project files and Asana.

    • Actively responds to clients, within the same business day whenever possible, and maintains out of office replies when necessary.

    • Ensures all change orders are documented, client-approved, and submitted to Accounts Receivable for processing.

    • Ensures that agreed upon production timeline is adhered to whenever possible and that all deliverables are checked off the production execution list prior to doors.

    • Evaluate and provide feedback on show site labor, staff, and part-time employees throughout the show and post-event, submit performance ratings for Lasso entry.

    • Oversees the installation and operation of equipment on shows for their assigned areas.

    • Ensure that the Company’s safety guidelines are implemented and followed on the show site.

    • Provides administrative and tactical support to the overall organization, including warehouse and asset management, research and development, purchasing, audio & video department oversight, administrative support, transportation & logistics, and various ad hoc tasks.

    • Possess proficiency or a working knowledge of administrative software

    • FLEX - Lasso - TimeWorks - Asana - Dropbox - MS Office

    • Possess a working knowledge of some of the consoles and technical software used to run technical equipment events, i.e.:

  • Resolume Arena - Allen & Heath Audio Console - ETC Gio@5 lighting console - QSC - Q-SYS Audio Processor - L-Acoustics - Christie Projectors - Unilumin LED Tiles - Nova Star LED Processor - lighting software, etc.
  • • Develops & maintains relationships with VOX’s preferred vendors and independent contractors.

    • Engages in creative problem-solving to maintain a no-fail execution and maximize customer satisfaction.

    • Completes timely PM report at the end of each active event day (including load-in/out days) and ensures transmission to Head of Production, President, and Client Account Manager.

    • Trains and monitors Crew level staff to ensure proper care of equipment and venues, and appropriate knowledge base with respect to handling and operation of VOX assets.

    GENERAL QUALIFICATIONS:

     Highly experienced and strong knowledge in setting up and operating audio, video, projection, multi-media, and lighting equipment.

     Must have general knowledge of electrical and rigging requirements for all basic audio-visual equipment.

     Able to work effectively under pressure, self-direct, and solve problems with creative solutions, interact professionally with other departments and venue personnel.

     Computer-literate, with basic troubleshooting capabilities

     Maintains a positive and results-oriented approach and a strong sense of urgency to tasks and troubleshooting

     Ability to safely lift bags, cases, and stacks weighing up to 50 pounds. Physically able to lift, reach, bend, and stoop.

     Ability to work in a standing or active position for long periods of time (up to 8 hours).

     Overtime & Weekend work is frequently required

     Excellent interpersonal and communication skills.

    As a VOX team member, you will be expected to participate in Staff Production and Staffing Meetings, develop and foster a positive, team-oriented atmosphere, advise on logistics, participate in high-level company direction and planning, and advise on Staff evaluations. You will be responsible for following and enforcing all VOX Rules & Regulations, as documented and amended in various forms, including the VOX Employee Handbook.
