Clinical Scheduler, Fulltime

Under the direction of the Clinical Supervisor, the Clinic Scheduler maintains the staffing schedule for the Clinic and Day Centers, including assignment sheets, master schedule, PAL Requests. Maintains the participant schedule; schedules necessary appointments for participants when requested by supervisor for clinic, specialists, and outside medical appointments. Obtains information from participants as directed by the Clinic RN or physician.

Participates in clinic meetings and overall planning related to clinic. Accepts other duties as assigned by the Clinic Supervisor. Accepts other duties as assigned by the Clinical Supervisor and within the Certified Nursing Assistant scope of practice.

Essential Duties and Responsibilities:

  1. Performs general clerical duties, including, but not limited to, maintaining records and office supplies, preparing reports, filing policy manuals, resource material, and statistical data as required.
  2. Provides information, makes referrals, and contributes to good customer services by answering the phones, screening, and transferring calls and/or taking messages accurately and courteously.
  3. Maintains and records attendance using the assignment sheets, assists Clinic Supervisor with review of time records for nursing personnel to check for accuracy.
  4. Receives all requests for outside consultations, follow-up appointments and surgeries from medical staff and coordinates appointment times with family, office and transportation (if required).
  5. Develops and maintains methods of oral and written communication between CSC and providers including sending appropriate records, labs, imaging reports, EKGs, i.e., to the consultant and soliciting immediate feedback form the consultant.
  6. Assists in all Certified Nursing Assistant duties as directed by the Clinical Supervisor.
  7. Performs any necessary filing or clerical duties necessary to complete charting requirements.
  8. Assists Clinical Supervisor in creating and maintaining clinic schedule to include initial assessments, semi-annual, annual, acute care assessments.

Minimum Education:

High school diploma or equivalent is required. Some college or business school is strongly preferred.

Minimum Requirements:

  1. Must have medical clearance for communicable diseases and up-to-date immunizations before having direct participant contact.
  2. Must have a valid driver’s license, proof of insurance and have means of transportation. Must be able to meet Carolina SeniorCare's auto insurance carrier's standards for coverage.
  3. Successful completion of Certified Nursing Assistant program with current certification and required in-services.

Minimal Experience:

  1. Minimum age of 18 years or older is required for this position due to Department of Labor regulations. Minimum of one year working with the frail or elderly.
  2. Two (2) years clerical or business experience, preferably in a health care environment is preferred.
  3. Experience with a personal computer, various software applications, email, facsimile, and copier. Intermediate to advanced computer skills.
