Job Summary

The Administrator serves as the primary operational and Supervisory leader of the branch, responsible for directing daily operations, supervising branch staff and ensuring the branch achieves performance, growth and quality goals. This role provides strong leadership, coaching and accountability for branch staff while ensuring consistent service delivery, regulatory compliance and operational excellence. The Administrator partners closely with Business Development, Nursing Services and Human Resources to support branch performance, workforce management and high levels of Client and Caregiver satisfaction.

Requirements:

Key Responsibilities

  • Responsible for all operational performance of the Branch
  • Lead Branch staff to ensure strong performance, teamwork, and consistent operations, including covering all positions during vacations, leaves, or vacancies
  • Drive business and Client growth through proactive relationship-building with Clients, families, Referral Partners, and community organizations
  • Oversee Caregiver scheduling and service delivery to ensure full Client coverage and at least 98% fulfillment of authorized service hours
  • Monitor branch performance against KPIs and compliance standards, communicate insights to leadership, and implement improvements to optimize operations
  • Oversee Client onboarding, evaluations, and service planning to ensure individualized, compliance, successful industry surveys, and high-quality care
  • Manage Client authorizations, billing accuracy, and shift reconciliation to support revenue integrity and financial goals
  • Ensure regulatory and licensing compliance across Client files, documentation, EVV requirements, and service delivery
  • Partner with Business Development, Nursing, and Human Resources to support growth, care quality, and staffing needs
  • Manage office operations including new hire orientation, training, documentation accuracy, and office organization
  • Respond promptly and professionally to Clients, Caregivers, internal teams, vendors, referral sources, and other stakeholders via phone, email, or in-person communication, addressing inquiries, incidents, or service issues to maintain high satisfaction

  • Respond promptly and professionally to business needs, Client concerns, Caregiver issues, and operational disruptions
  • Maintain accurate, timely and compliant records and documents
  • Exercise sound judgment, problem-solving, and decision-making skills
  • Communicate clearly and professionally with Caregivers, Clients, families, and internal teams
  • Adhere to all Company policies, confidentiality rules, safety requirements and regulatory obligations including HIPAA
  • Work effectively in fast-paced, dynamic environment, adjusting to shifting priorities and performing the critical day-to-day duties independently with minimal supervision

Education and Experience

  • At least 2 years healthcare or senior care management level experience
  • Experience in home care, healthcare, or a related service-based industry
  • Bachelor’s degree in Healthcare Administration, Business, Human Resources, or a related field preferred

Working Conditions

  • Ability to remain in a stationary position for extended periods (office environment)
  • Ability to operate standard office equipment or tools required for the position
  • Ability to move about the work area and between sites as needed

Work Location: Caring for Portland: 4800 SW Griffith Dr., #215, Beaverton, OR 97005

Work Hours: Monday – Friday, 8am – 5pm

Supervisory Responsibilities: Yes

Required Travel: Local travel and occasional travel for training or meetings
