JOB SUMMARY

EDUCATION AND EXPERIENCE

  • Bachelor’s degree in Construction Management, Civil Engineering, Architecture or a related field.
  • 1-3 years of experience in construction project coordination, construction administration, or a similar role.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Familiarity with construction management and design software, such as AutoCAD and Revit.
  • Knowledge of U.S. construction methods, local building codes, permitting processes, and safety regulations.
  • Ability to read and interpret technical documents, including project plans, blueprints, and construction schematics.
  • Strong organizational skills with the ability to manage multiple projects and priorities.
  • Strong communication and collaboration skills to support internal teams, contractors, and stakeholders.

KEY RESPONSIBILITIES:

Project Support

  • Track project schedules, milestones, and deadlines to ensure progress and alignment.
  • Maintain organized project documentation, files, and reporting tools.
  • Coordinate communication between contractors, vendors, and internal teams to support seamless project execution.

Procurement & Equipment Management

  • Manage ordering of fixtures, furniture, and equipment (FF&E) for remodels and new store projects.
  • Track procurement lead times and delivery schedules to prevent delays.
  • Coordinate deliveries with Construction Managers and contractors.
  • Maintain and update master FF&E tracking logs.
  • Assist in fixed asset management processes, ensuring accurate tagging, tracking, and record-keeping.

Financial Administration

  • Review and process contractor/vendor invoices.
  • Assist in tracking budgets, purchase orders, and capital spend reporting.
  • Support Capital Projects Manager with variance reporting and reconciliations.

Permitting & Compliance (as needed)

  • Support the Licensing & Permitting Coordinator by preparing applications, submitting documents, and following up with municipalities.
  • Track permit and inspection status in project logs.

General Administrative Support

  • Coordinate and manage project meetings, ensuring clear documentation, actionable follow-ups, and team alignment.
  • Oversee project close-out processes, including final documentation, punch list completion, and deliverable verification.

Innovation

  • Lead and manage innovation projects to streamline processes, optimize resources, and drive operational efficiency.

WHAT SUCCESS LOOKS LIKE

  • On-time delivery of equipment to all remodel and new store projects.
  • Accurate tracking and control of fixed assets, invoices, budgets, and project schedules.
  • Reduction of project process times from planning through execution and delivery.
  • Streamlined administrative processes, increasing the department’s capacity to manage 55+ projects per year.
  • Effective communication with internal teams, contractors, and stakeholders.
