About This Position

Position Summary

The Intake Coordinator is the first point of contact for patients entering Remedy Behavioral Health’s care. This role is responsible for managing the intake process from start to finish — ensuring all patient information, insurance verification, and documentation are accurate and complete. The Intake Coordinator works closely with providers, office staff, and the billing team to deliver a smooth, professional, and compassionate onboarding experience for every patient.

Key Responsibilities

  • Greet patients and answer incoming calls in a professional, courteous manner.
  • Schedule and confirm appointments for therapy and medication management services.
  • Verify patient insurance coverage, benefits, and eligibility using payer portals and internal tools.
  • Ensure that patient demographic and insurance information is accurately entered into the EMR (Practice Fusion).
  • Review intake packets, consent forms, and other required documentation for completeness prior to scheduling or treatment.
  • Communicate with facility partners, referral sources, and internal teams to coordinate new patient admissions.
  • Track and monitor the status of pending intakes, ensuring timely completion and follow-up on missing information.
  • Assist in scanning, uploading, and maintaining organized, HIPAA-compliant patient records.
  • Collect and post co-pays, maintain accurate payment logs, and ensure alignment with billing workflows.
  • Collaborate with providers and clinical leadership to support a seamless transition from intake to care.
  • Perform other clerical or administrative duties as assigned to support clinic operations.

Compliance & Ethics

  • Complies with all federal, state, and company regulations regarding patient privacy, documentation, and billing integrity.
  • Participates in all required compliance, confidentiality, and HIPAA training programs.
  • Promptly reports suspected issues of non-compliance to the appropriate supervisor or HIPAA Officer.
  • Cooperates with audits, QA reviews, and process improvement initiatives as requested.
Requirements:

Education & Experience

  • High school diploma or equivalent required; additional education in healthcare administration or medical office management preferred.
  • At least one year of experience in a medical, behavioral health, or administrative setting preferred.
  • Familiarity with EMR/EHR systems (Practice Fusion experience a plus).
  • Basic understanding of insurance verification and referral coordination.

  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency with Microsoft Office and general computer applications.
