The Opportunity
Prospect Schools is seeking an experienced and enthusiastic Registrar. This person will report directly to the Director of School Operations and be responsible for the maintenance and reporting of the school’s data needs, and ensure continued compliance with state and city regulations. The essential duties & responsibilities include:
Student Registration and Enrollment
Act as the administrator for our student management system, Infinite Campus, and regularly ensure that staff and student data and reports are in working order.
Manage initial and ongoing student enrollment, including tracking of enrollment paperwork and health forms, and ensuring that student rosters are kept up to date throughout the year
Oversee the collection and review of immunization records and maintaining compliance with Department of Health regulations
Collect and track meal eligibility paperwork (FRL forms)
Student Records and Data
SIS management (ATS, Infinite Campus, Schoolmint) and ensuring it is current with the latest student data. Pull reports when needed
Create and maintain student files, following up on missing paperwork as needed to ensure complete records
Fulfill record requests from transfer schools as students leave, and follow up with prior schools to ensure complete records for incoming transfer students
Perform regular audits of student records to ensure accuracy and compliance in the event of an audit
Maintain comprehensive student demographic data and provide reports as requested
Student Attendance
Maintain and report accurate daily student attendance records within the school’s Student Information System.
Monitor student absences to identify when students are at varying levels of risk of chronic absenteeism.
Liaise with other school personnel to ensure effective follow up with families to support student attendance and prevent chronic absenteeism.
Student Recruitment and Enrollment
Act as school liaison to coordinate with the Network Student Recruitment and Enrollment team.
Support the planning, scheduling, and execution of school-based recruitment and enrollment activities, such as school tours, etc.
Act as a point of contact for prospective and newly enrolled families, answering questions related to the registration process, school policies, and any other logistical concerns, ensuring clear and ongoing communication.
Engage with prospective families to provide detailed information about the school’s programs, values, and enrollment procedures, ensuring families feel informed, welcomed, and supported throughout the process.
School Operations
Support with the planning and execution of day-to-day school systems, such as Arrival, Lunch/Recess, and Dismissal to ensure that they run efficiently and safely
Create and administer staff training on new and routine operations systems
About you:
Bachelor's Degree or 5 years professional experience
At least 2-3 years of operations or adjacent administrative experience
Prior experience working in a school preferred
Exceptionally strong organizational skills, with a keen attention to detail
Experience managing projects from beginning to end
Adept at collaborating and building community with others
Salary
The salary range for this role starts at $62,000, then increases based on years of experience. Our salaries are set through a lens of equity, and based on an individual’s skills, education, and years of experience relevant to the role.
