We have an excellent career opportunity for a full-time Project Administrator in operations and maintenance of facilities (O&M) located in NW 20210 and NE 20002 Washington, DC. Schedule: Full time, 40 hours per week. Monday to Friday. On-site, not remote position.

Hourly Rate: $26.00 to 28.00 per hour

Project Administrator Requirements:

  • Five (5) years’ Customer service and administrative experience
  • Experience operating and updating CMMS systems for updating, editing, routing, and uploading documents, including facility assets, PM schedules, work orders, inspections, testing, maintenance, certificates, and Quality Control (QC)
  • Experience with EQIP
  • Google Drive & Microsoft Office proficiency
  • Government/commercial facility customer service and reporting experience
  • Required to obtain and maintain federal government badge with Public Trust (PT and/or Top Secret (TS) security clearance.
  • Experience with timesheet management
  • Some background experience in the operation, maintenance and repair of building systems such as HVAC, electrical, lighting, carpentry, drywall and hardware, painting, masonry, flooring environments

Project Administrator Responsibilities:

  • Answer and direct phone calls and emails
  • Assign & dispatch work orders
  • Review, follow-up and QC completed work orders
  • Provide updates to customers on work orders and projects.
  • Support CMMS system
  • Work directly with assisting Project Manager and Supervisors
  • Coordinate project tasks and deliverables.
  • Request invoices, tracking payment, etc.
  • Assist with scheduling and set up safety training & attend
  • Assist with parking applications and requests
  • Schedule appointments for onboarding (background/fingerprints) & assist with EQIP
  • Order office & site supplies, equipment, tools, and uniforms.
  • Update and manage sign in sheets, leave requests, and assist in managing staff schedules
  • Review staff time and collect documents to submit for payroll
  • Collect daily logs, tours, reports, etc.
  • Send out morning building report each morning with fire panel and elevator log
  • Collect all daily, weekly, and monthly documents and distribute.
  • Assist staff with work orders, iPads
  • Manage all onsite files, paper & electronic, including contract required documents.
  • Create and distribute reports
  • Prepare & update Contract Deliverables and Plans
