About This Position

GENERAL DESCRIPTION:

Effectively manages and organizes transportation maintenance activities and building maintenance. Oversees all aspects of building functions and guarantees the safety and functionality of all facilities.

DUTIES AND RESPONSIBILITIES:

  • Conduct routine interior and exterior building walk-throughs to identify showroom readiness, maintenance, safety, and operational issues
  • Ensure that certain facility systems are working properly, i.e.: security, sprinkler system, access cards, etc.
  • Carry out a wide variety of tasks related to planning, managing and coordinating the fleet including, but not limited to: operation, maintenance, registration and licensing, repairs and servicing of vehicles.
  • Conduct audits of vehicles to confirm each vehicle has appropriate documentation, organization and cleanliness. Vehicles also includes forklifts and order selectors.
  • Partner with Safety Manager to run routine safety inspections, corresponding with contractors, planning maintenance work and maintaining records.
  • Establish vendor policies, audit and monitor fleet and facilities maintenance & repairs
  • Partner with Accounting and Leadership on negotiating, maintaining and terminating service and insurance contracts
  • Oversee contractors installing, inspecting, repairing, and maintaining building systems, including mechanical, electrical, plumbing, HVAC, safety, and waste management
  • Purchase or ensure the purchase of all materials or equipment for McCoy Rockford’s fleet and facilities
  • Develop or revise standard operational and working practices and hold employees accountable for achieving these standards
  • Monitor and control expenses for department and assist in budget planning for department
  • Schedule and supervise preventative maintenance, painting, or carpentry projects
  • Coordinate required inspections, certifications, and permits with governing agencies and third-party vendors
  • Enforce safety policies by conducting audits, inspections, reporting statistics, and counseling employees
  • Inspect equipment to ensure specific operational performance and optimal utilization
  • On call for facility security support, driver accident assistance and fleet emergencies
  • Responsible for project managing all capital expenditure improvements for the facilities and vehicles
  • Facilitate two team meetings: the Houston facility team and the Austin facility team
  • Review invoices and supporting documentation submitted by Accounting to ensure accuracy and obtain appropriate approvals
  • Maintain accurate records by updating the CMMS with work orders, service activity, and maintenance documentation
  • Stay current on applicable local, state, and federal building codes, safety regulations, and compliance requirements, and ensure facilities operate in accordance with all standards
  • Partner with internal teams and external experts to implement changes resulting from updates to building codes or state regulations
  • Proactively identify compliance gaps through regular inspections and audits, and take corrective action as needed

KEY SELECTION AND SUCCESS FACTORS

WORK EXPERIENCE:

  • At least 5 years’ facilities experience required
  • Fleet maintenance experience preferred

EDUCATION/QUALIFICATIONS:

  • High School Degree or equivalent required. College degree preferred.
  • Excellent time management and multitasking skills
  • Knowledge of building systems and codes
  • Contract handling experience

OTHER/PREFERRED:

  • Possess technical skills in vehicle operation and maintenance
  • Knowledge of Smith System preferred
  • Strong leadership skills including the ability to build a strong team, coach and mentor direct reports and the ability to get results through others in a positive and encouraging manner
  • Ability to analyze problems and move toward a win-win solution
  • Ability to speak to groups effectively and maintain audience interest
  • Ability to communicate effectively with direct reports, other departments and with customers
  • Understand and maintain compliance with state and federal regulations
