About This Position

Novus Orthodontics is seeking a bi-lingual front office administrator for our Greenville location. Our ideal candidate will have the perfect combination of engaging personality and professionalism along with great organizational skills. This is a full time,4 day week position. We offer a full benefit package as well as a bonus program. This position requires at least one year of dental or orthodontic front experience.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Proven experience in a front office, receptionist, or customer service role.
  • Proficiency in using office software such as Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.

Preferred Qualifications:

  • Associate’s or Bachelor’s degree in Business Administration or related field.
  • Experience with office management software and phone systems.
  • Familiarity with basic bookkeeping or invoicing procedures.
  • Ability to handle confidential information with discretion.
  • Bilingual skills or proficiency in a second language.

Responsibilities:

  • Greet and welcome visitors and clients promptly and courteously, ensuring a positive experience.
  • Answer, screen, and forward incoming phone calls and emails to the appropriate personnel.
  • Manage appointment scheduling and coordinate meeting room bookings efficiently.
  • Collect payments and submit insurance claims, work AR on active patients.
  • Handle incoming and outgoing mail and deliveries, ensuring timely distribution.
  • Support administrative tasks including data entry, filing, and maintaining office supplies inventory.
  • Collaborate with other departments to facilitate smooth communication and office workflow.
  • Ensure the front desk area is tidy, organized, and presentable at all times.
