About This Position
About the Position:
The Receptionist for Outpatient Services is responsible for providing an organized and pleasant environment to clients in an administrative support role that also assists staff in meeting the clients' needs. The Receptionist will be responsible for organizing the Program’s administrative functions and events. The Receptionist will support day-to-day operations by performing administrative tasks and ensuring high-quality customer service.
Schedule:
Monday, Tuesday, Thursday: 4:00 pm - 9:30 pm
Your Role:
Client Interaction:
- Provide quality customer support to clients and various stakeholders as they enter and exit the building while maintaining a sign-in and out process to ensure safety measures.
- Ensure visitors sign appropriate documentation upon entering the facility, including confidentiality agreements.
- Answer phone lines using established script and protocols, adhering strictly to HIPAA (Health Insurance Portability and Accountability) confidentiality guidelines.
- Prepare welcome materials for upcoming admissions.
- Support Urine Toxicology process, conducting supervised tests, timely documentation, confirmation testing and record keeping.
- Receive and record deliveries to the facility during work hours.
Office Management:
- Maintain and organize office operations and procedures.
- Ensure the office environment is clean, organized, and welcoming.
- Prepare and maintain infused water station.
Administrative Support, Scheduling and Coordination:
- Answer and direct phone calls, emails and other correspondence.
- Schedule and support clients for services rendered during work hours.
- Collaborate with various staff and administrative assistants to ensure quality care and timely scheduling needs are met. Ensure that appointment statuses are updated daily by auditing staff schedules and communicating accordingly.
- Provide reminder calls / text messages to clients for upcoming appointments.
- Act as a liaison between outpatient services and admissions as it relates to administrative tasks and scheduling.
- Assist team with various clerical needs, database entry and other tasks as necessary.
- Maintain safety checks and standards throughout the building per company policy and document in EOC log as needed.
Qualifications:
- Notary Public in NY - Preferred
- High School Diploma or Equivalent - Required
- Must have proficient computer skills including competence in software applications such as Microsoft Office suite, Adobe and use of internet applications
- Ability to work both independently and collaboratively as necessary.
- Awareness and sensitivity to addiction, socioeconomics and strong cultural competency.
- Strong oral and written communication skills
- Excellent organization and time management skills.
- Strong problem-solving and follow-up skills; must be proactive and take initiative
Compensation:
The base rate of pay for this position is $18.00 to $22.00 per hour. Actual pay is determined based on a number of job-related factors including skills, education, training, credentials, experience, scope and complexity of role responsibilities, geographic location, performance, and working conditions.
