Description:

THE ROLE & OPPORTUNITY

The Senior Manager Global Facility Management is responsible for governing, standardizing and continuously optimizing Facility Management services across Wella Company’s global portfolio.
This role ensures consistent, high-quality workplace operations and employee experience across all countries, while balancing service excellence, cost efficiency, compliance and sustainability.
Acting as the global orchestrator of workplace operations, this leader defines global standards, ensures disciplined execution through a network of local Facility Managers and external service providers, and brings strong financial transparency and governance over Facility Management spend.

KEY RESPONSIBILITIES

• Global Standardization & Governance
Define and actively contribute to the global Facility Management strategy in close collaboration with the Director of Real Estate and Facility Management, ensuring full alignment between workplace, real estate and operational priorities, while leveraging and strengthening the strategic partnership with Procurement to structure sourcing strategies, optimize costs and ensure compliant execution. This includes owning global Facility Management policies and standards covering cleaning levels and frequencies, preventive and corrective maintenance, security, reception and access control, as well as the Clean Desk Policy and workplace behavioral guidelines. In parallel, establish and maintain robust global SLA and KPI frameworks to monitor service quality and performance, response times and incident management, health, safety and regulatory compliance, and overall cost efficiency and productivity, ensuring global consistency across the portfolio while allowing for necessary local regulatory requirements and cultural adaptations.

• Global Contract & Vendor Management
Lead and govern global and regional Facility Management framework agreements covering cleaning, security, technical maintenance and engineering, as well as soft services. Work in close partnership with Procurement to optimize economies of scale, harmonize pricing structures and service scopes, and actively monitor, audit and challenge service provider margins, cost structures and key cost drivers at both global and site level. Act as the senior counterpart to global and regional account directors of Facility Management service providers, ensuring strong governance, performance accountability and long-term partnership alignment.

• Support to Local FM Network
Act as the primary escalation point for local Facility Managers and Office Managers, while providing standardized tools, processes and methodologies to support local teams, including reporting dashboards, KPI and SLA templates and standardized operational playbooks. Drive best-practice sharing and continuous improvement across regions to ensure consistent service delivery and performance, and support the onboarding, training and upskilling of local Facility Management resources to strengthen capabilities and alignment with global standards.

• Operating Model & Reporting Structure
Operate within a matrix organizational structure by providing functional leadership to local Facility Management roles, while ensuring clear strategic alignment with the Director of Global Real Estate and Facilities across HR, IT, Finance, Legal and Procurement. Clearly define roles and responsibilities between corporate governance, local execution teams and external service providers, and ensure transparent, consistent reporting flows across the organization.

• Budget, Financial & Workforce Oversight
Monitor global Facility Management operational budgets (OPEX) by contributing to the Real Estate Power BI environment in order to build a comprehensive TCO view of Wella’s real estate footprint. This includes labor costs (site leads, FM coordinators and service agents), external service contracts, consumables and equipment, as well as CAPEX-related elements such as equipment investments and amortization, technical upgrades and asset lifecycle planning. Conduct regular audits and deep-dive reviews of Facility Management spend across sites to ensure cost transparency, consistency and compliance with global standards, analyze service provider cost structures including gross and net margins and productivity and staffing ratios, and produce monthly and annual financial reporting identifying cost optimization and efficiency opportunities.

• Indirect Team & Performance Management
Coordinate and influence external Facility Management teams without direct line management, driving consistent service quality and performance while limiting turnover, and building strong, performance-driven and accountable partnerships with vendors.

Key Skills & Experience

Leadership & Stakeholder Management
• Proven ability to lead and influence multicultural, remote teams across multiple time zones.
• Strong communication skills with the ability to align local teams around global standards and governance frameworks.

Financial & Analytical Expertise
• Strong understanding of CAPEX and OPEX management at global scale.
• Proven ability to audit, analyze and challenge service provider pricing models, margins and site-level cost variances.
• Data-driven mindset with strong reporting, governance and business case capabilities.

Systems & Tools
• Advanced proficiency in Excel for global data consolidation and analysis.
• Strong experience with Business Intelligence tools (e.g., Power BI).

Languages
• Fluent / bilingual English (global working language).
• Additional languages (e.g., French, German, Spanish) are a strong asset.
