Job Summary
The Corporate Events & Marketing Coordinator is responsible for planning and executing corporate events, customer experiences, and dealer engagement programs across mSupply’s HVAC, Plumbing, and Appliance verticals. Working alongside fellow coordinators and reporting to the Director of Corporate Communications & Marketing, this role owns end-to-end event logistics—from large-scale national summits and dealer incentive trips to internal leadership meetings and training programs—while also supporting the administration and measurement of customer loyalty, rewards, and incentive programs. The ideal candidate brings proven event planning experience in a corporate or B2B setting, is highly organized under pressure, and thrives at the intersection of logistics, vendor management, and customer engagement.
Job Duties & Responsibilities
Loyalty & Rewards Program Management
- Coordinate the administration of existing points-based rewards, dealer incentive, and contractor loyalty programs across HVAC, Plumbing, and Appliance verticals, ensuring accurate tracking, timely fulfillment, and a positive participant experience.
- Assist in auditing and consolidating disparate loyalty and rewards programs across mSupply’s brand portfolio into a unified, scalable framework where applicable.
- Support the development and launch of new incentive programs and tiered reward structures designed to drive specific, measurable shifts in customer purchasing behavior.
- Maintain program data integrity within loyalty platforms and CRM systems; generate regular reports on points balances, redemption activity, participant engagement, and program health.
- Research and evaluate loyalty program platforms, points fulfillment vendors, and technology solutions; present findings and recommendations to program leadership.
- Monitor competitive landscape and industry best practices in B2B loyalty, channel partner incentives, and contractor rewards programs to inform continuous improvement.
Program Performance & ROI Measurement
- Build and maintain dashboards and reporting tools that track key performance indicators for loyalty and incentive programs, including enrollment rates, engagement levels, redemption trends, and revenue attribution.
- Analyze pre- and post-program purchasing data to quantify behavioral change and calculate return on investment; present findings to Director and cross-functional stakeholders.
- Assist in developing ROI frameworks and measurement methodologies for new program launches, establishing clear baselines and success metrics from the outset.
- Collaborate with Sales and Finance teams to align program data with customer revenue reports and support quarterly business reviews.
Dealer Trips & Customer Events
- Coordinate end-to-end logistics for dealer incentive trips and customer reward experiences, including venue and destination sourcing, travel arrangements, vendor contracts, attendee communications, and on-site execution.
- Manage agency and vendor relationships for customer-facing events, serving as the primary day-to-day contact for event production partners, travel agencies, and experiential marketing vendors specific to HVAC dealer programs and appliance parts rewards events.
- Develop and manage event budgets, tracking spend against approved allocations and identifying cost-saving opportunities without compromising the participant experience.
- Coordinate attendee qualification processes and communicate program milestones and trip eligibility criteria to Sales and dealer-facing teams.
- Conduct post-event surveys and debrief analyses; translate feedback and attendance data into actionable recommendations for future programs.
Corporate & Internal Events
- Own end-to-end planning and execution for internal corporate events including national sales meetings and summits (400–500 attendees), leadership development programs, management training sessions, and company-wide gatherings.
- Lead venue sourcing and contract negotiation, vendor coordination, agenda development, attendee communications, and on-site execution for internal events in partnership with HR and senior marketing leadership.
- Develop run-of-show documents, event briefs, budget tracking, and post-event recap reports; manage event timelines across cross-functional teams.
Vendor & Agency Relationship Management
- Serve as primary day-to-day liaison with external agencies, rewards fulfillment vendors, event production partners, and loyalty platform providers.
- Coordinate agency deliverables and timelines; ensure program materials, creative assets, and communications are delivered accurately and on schedule.
- Evaluate vendor performance against contractual SLAs and program outcomes; surface issues and escalate as needed to the Director.
- Support contract and scope-of-work documentation for new vendor and agency engagements in coordination with Marketing leadership and Legal.
Qualifications
- Bachelor’s degree in Marketing, Business Administration, Communications, or related field required.
- 3–5 years of experience in corporate event planning, event coordination, or a closely related marketing role; experience with large-format events (200+ attendees) strongly preferred.
- Experience administering or supporting points-based loyalty, rewards, or dealer incentive programs is a plus; B2B or channel partner program background preferred but not required.
- Strong analytical skills with experience building reports and interpreting data to measure program performance and ROI; proficiency in Excel or Google Sheets required.
- Demonstrated experience managing external vendors, event production agencies, travel partners, and venue relationships, including contract negotiation, budget tracking, and deliverable oversight.
- Excellent project management skills with the ability to manage multiple programs and timelines simultaneously; experience with project management tools such as Wrike, Asana, or Monday.com preferred.
- Strong written and verbal communication skills; ability to create clear program communications for dealer, contractor, and internal audiences.
- Familiarity with CRM platforms and marketing automation tools; experience with loyalty platform technology a plus.
- Experience in the HVAC, plumbing, appliance parts, or broader distribution/wholesale industry is a plus.
- Ability to travel up to 20% for dealer events, customer trips, and internal corporate events.
- Collaborative team player with a proactive, solutions-oriented mindset and high attention to detail.
Physical Demands & Work Environment
This position may require over 40 hours per week and includes regular physical activity such as:
- Prolonged periods of sitting at a desk and working on a computer
- Occasional travel to dealer events, customer incentive trips, and internal corporate functions (up to 20%)
- Ability to lift up to 25 pounds for transporting event materials and marketing collateral
