Job Summary

SerClean is seeking a highly organized, detail-driven Reconstruction Project Coordinator (PC) to support our growing reconstruction operations. This role is critical to keeping projects moving efficiently from intake through job closeout.

The Project Coordinator serves as the primary administrative and coordination hub for reconstruction projects. Because SerClean is a growing organization, this role currently encompasses responsibilities that may later be separated into specialized positions (AR, scheduling, estimating support). Candidates should be comfortable wearing multiple hats and working closely with Project Managers, estimators, vendors, homeowners, and insurance partners.

Key ResponsibilitiesJob Intake & Setup
  • Monitor MIT CRM and communication platforms for new reconstruction leads.

  • Open and set up job files in the CRM immediately upon assignment.

  • Create job-specific communication groups and assign internal contacts (Project Manager, Estimator).

  • Support Project Managers with inspection scheduling and initial project workflow coordination.

Job Monitoring & Inspection Scheduling
  • Track referred jobs through the reconstruction funnel and review pipeline activity daily.

  • Schedule inspections and coordinate availability with homeowners, Project Managers, and vendors.

  • Maintain consistent communication with homeowners throughout the inspection and approval process.

  • Upload Xactimate estimates, supplements, and change orders into the CRM.

  • Verify that all required documentation is complete and accurate.

  • Follow up with homeowners, Project Managers, adjusters, and carriers to obtain timely approvals.

  • Maintain transparent, proactive communication to keep jobs moving forward.

Vendor & Subcontractor Coordination
  • Collect and verify vendor onboarding documentation.

  • Receive vendor invoices, reconcile against work orders, and submit to accounting.

  • Issue payment links as needed.

  • Serve as the primary point of contact for third-party estimators until the Reconstruction Manager role is established.

Invoicing & Payment Processing
  • Create customer invoices and apply advance payments.

  • Ensure all required documentation is submitted to mortgage companies, customers, and carriers.

  • Support timely final payment release and job closeout.

Communication & Issue Resolution
  • Notify Project Managers of job readiness delays or approval issues.

  • Escalate unresolved issues to leadership through management channels.

  • Assist with customer service and damage control when needed, including working with emotional or distressed customers.

  • Answer phones and respond to reconstruction-related emails as required.

Required Skills & Proficiencies
  • Xactimate: Training and experience with reconstruction estimates (Level 1 required or ability to obtain quickly).

  • Insurance Knowledge: Familiarity with property insurance processes, terminology, and documentation.

  • Communication: Strong written and verbal communication with homeowners, adjusters, vendors, and internal teams.

  • Typing & Documentation: Fast, accurate typing with strong attention to detail.

  • Negotiation: Ability to work through approval delays and resolve issues professionally.

  • Customer Handling: Comfortable managing difficult or emotional customers with empathy and professionalism.

  • Technical Proficiency: Experience with DASH or similar CRMs, Microsoft 365, and general office software.

  • Organization & Time Management: Ability to manage multiple active jobs, deadlines, and communication threads simultaneously.

  • Detail Orientation: Ensures accuracy across documentation, uploads, invoicing, and job tracking.

Qualifications
  • Prior experience in restoration, reconstruction, construction coordination, or insurance-related roles preferred.

  • Strong follow-through and accountability in a fast-paced environment.

  • Willingness to learn and adapt as the organization grows and roles evolve.
