This role is a high-visibility opportunity to lead end-to-end execution of a dynamic events program spanning onsite experiences, conferences, and virtual events. You will serve as the operational backbone of marketing and sales initiatives, ensuring every event runs seamlessly and delivers measurable business impact. From logistics and vendor coordination to attendee data integrity and follow-up readiness, your work will directly influence pipeline generation and stakeholder success. The environment is fast-paced, collaborative, and execution-focused, requiring both strategic planning and hands-on delivery. With up to 50% travel, this role is ideal for someone who thrives in live-event settings while maintaining operational precision behind the scenes.
Accountabilities:- Own the end-to-end operational management of the events calendar, including onsite events, conference participation, webinars, and virtual programming.
- Partner with Marketing and Sales teams to define event goals, target audiences, timelines, and execution plans aligned with business objectives.
- Build and refine scalable playbooks, timelines, templates, and checklists to drive efficiency and consistency across events.
- Manage event budgets, track expenses, and ensure delivery within approved allocations.
- Lead onsite logistics including vendor coordination, contracts, venue support, A/V setup, catering, shipping, staffing, speaker management, rehearsals, and run-of-show oversight.
- Produce webinars and virtual events end-to-end, including scheduling, tech checks, live production support, recording management, and contingency planning.
- Own attendee and list data workflows in HubSpot, ensuring accurate imports, deduplication, taxonomy consistency, segmentation, and timely follow-up readiness.
- Maintain clean event reporting structures, dashboards, and post-event documentation to support marketing and sales outreach.
Requirements:
- 48 years of experience managing event operations, field marketing programs, or similar roles across live and virtual formats.
- Demonstrated expertise executing onsite events, including vendor management, logistics planning, and day-of operations.
- Hands-on webinar production experience using platforms such as Sequel or comparable tools.
- Working fluency in HubSpot, including campaign setup, list management, data imports, and event tagging/status maintenance.
- Strong data hygiene and spreadsheet skills, including field mapping, deduplication, normalization, and QA processes.
- Excellent stakeholder communication skills with the ability to collaborate effectively across marketing and sales teams.
- Highly organized, detail-oriented, and calm under pressure in fast-paced environments.
- Willingness and ability to travel up to 50%, including overnight and weekend travel.
- Ability to meet physical requirements such as extended standing/walking, lifting up to 50 pounds (with or without assistance), and working in varied event environments.
- Experience with event tools (e.g., Splash, Bizzabo, Cvent), automation workflows, ABM-style events, and operational dashboards is a plus.
