We are seeking a highly organized, responsive, and detail-focused Sales Assistant to join our Corporate Office in Addison, TX.
This is not a background role. This position sits at the center of our inbound sales engine — ensuring every inquiry is documented, qualified, routed correctly, and reported accurately. Position Summary
The Sales Assistant serves as the first point of contact for inbound customer and franchise inquiries generated through digital marketing campaigns, web submissions, call tracking systems, and corporate communication channels.
You will manage inbound activity across multiple platforms, maintain CRM integrity within HubSpot, support national reporting initiatives, and ensure leadership has clean, accurate data to drive informed sales decisions.
Success in this role means no missed leads, no messy data, no reporting gaps, and no follow-up delays. It requires consistency, urgency, and attention to detail every single day.
You are the operational backbone behind inbound sales performance — the person who ensures the pipeline runs smoothly and the details never slip through the cracks.
Key Responsibilities
Inbound Lead Management
- Serve as the primary contact for inbound customer and franchise inquiries from Google My
- Business, PPC campaigns, organic search, WebApp submissions, and receptionist transfers
- Answer calls professionally and efficiently, creating a strong first impression of the Jani-King brand
- Document all interactions thoroughly and accurately within HubSpot
- Assess inquiries and route them to the appropriate Regional Office or Corporate Region
- Monitor CallRail voicemail and email notifications throughout the day and return missed calls promptly
- Track robo calls and miscellaneous activity in designated reporting systems
CRM & Data Integrity
- Review and manage Lead Review and Support tickets daily
- Rename and categorize tickets clearly to reflect inquiry type and required action
- Update ticket statuses and close records with clear resolution notes
- Identify duplicate, incomplete, or inaccurate data and take corrective action
- Maintain CRM cleanliness to protect reporting accuracy and sales visibility
- Mark out-of-territory or invalid inquiries appropriately
Reporting & Sales Operations Support
- Prepare and distribute Daily Lead Calls and Region Support reports
- Maintain weekly call tracking spreadsheets with accurate daily entries
- Update year-to-date dashboards for leadership visibility
- Compile monthly summaries outlining lead volume trends and inquiry categories
- Meet all recurring reporting deadlines independently
- Provide ad hoc reporting support and sales data assistance as requested
WebApp & Digital Submission Oversight
- Monitor incoming WebApp submissions for customer and franchise leads
- Review submission details for completeness and escalate discrepancies
- Respond to inquiries that fall outside service scope
- Maintain accurate lead status updates in HubSpot
Sales & Marketing Administrative Support
- Provide structured administrative support to the Corporate Sales and Marketing team
- Coordinate communication between Corporate and Regional Offices to ensure smooth lead transitions
- Cross-departmental communication for incoming call instances that require immediate attention.
- Maintain organized digital documentation and internal records
- Support special projects, marketing campaigns, and internal initiatives as assigned
- Participate in holiday and early dismissal phone coverage as scheduled
What We’re Looking For
- 6+ months of experience in inside sales, customer service, administrative support, or CRM lead
- management, preferably in a fast-paced environment
- Experience using CRM systems required; HubSpot preferred
- Working knowledge of Microsoft Excel and reporting tools, with comfort managing data and tracking metrics
- Excellent written and verbal communication skills with a professional, polished tone
- Strong attention to detail with high data-entry accuracy and consistency
- Ability to manage multiple systems and shifting priorities while maintaining focus and organization
- Dependable, punctual, and deadline-driven with a strong sense of accountability
- Comfortable working onsite in a structured, performance-focused corporate environment
- Employment is contingent upon successful completion of background screening

Location and Environment
This position is based at our Jani-King International Corporate Office in Addison, TX, the central hub supporting Sales, Marketing, Accounting, Operations, Franchise Support, IT, and Regional Offices nationwide.
You will work fully onsite in a professional, deadline-driven corporate environment where responsiveness, organization, and accuracy are essential to daily success. This is a structured role with clear expectations and measurable responsibilities.
Your workday will include managing inbound communications, maintaining CRM records, preparing reports, and coordinating across departments to ensure smooth lead flow and operational alignment. You’ll regularly engage with multiple teams and communication platforms, requiring focus, efficiency, and strong time management.
While this role is primarily desk-based, it is highly active and fast-moving. You’ll play a visible role in supporting national sales operations and ensuring the pipeline runs smoothly from first contact to regional handoff.
