Manager, Technical Services at CROWN PROPERTY MANAGEMENT – Toronto, Ontario
About This Position
Position Summary
The Manager, Technical Services reports to the Vice President, Property Management with a primary focus on operating efficiency of assigned properties and has a strong knowledge of mechanical and electrical operations subject matter specifically related to electrical distribution, HVAC, building controls, plumbing and fire detection and suppression systems as well as monitoring the preventative maintenance system to identify trends and opportunities for improvement by assisting with the development and implementation of maintenance standard operations procedures and processes.
The Manager, Technical Services will also be responsible for day-to-day management of operations of assigned properties and operations staff under their supervision including building operations team, security critical infrastructure equipment management, incident management and adherence to industry and company protocols and interface with external service providers and tenants.
Responsibilities
Deliver Excellent Service to Tenants
- Build effective relationships with tenants, tenant representatives and visitors to meet reasonable tenant expectations and lease obligations
- Independently respond to complex tenant queries that have been escalated above subordinates
- Ensure that property inspections are completed monthly and documented
- Ensure that there is a review of building systems and repair history to aid in life cycle costing analysis
- Ensure that health, safety and environmental procedures are compliant with applicable laws, regulations and permit conditions are enforced
- Ensure that monitoring systems are functional and work with various systems to manage business risk
- Provide support for activities related to the recovery of any building system failure
- Must be a member and facilitate the Joint Health and Safety Committee
Ensure efficient and effective building operations
- Responsible for all Building Operations. maintenance personnel, third party contractors and all building systems (HVAC, mechanical, electrical, fire and life safety systems)
- Oversee the Property Management system, including all compliance requirements and Operations KPI’s.
- Oversee the After-Hours Emergency System
- Collaborate with team, track/monitor progress/KPI’s, and edit project details in Yardi Construction Manager, including proper record keeping.
- Manage and ensure all service contracts are properly administered and coordinate re-tendering of contracts on Yardi Construction Manager.
- Review monthly maintenance reports prepared by operations team on activities and completed maintenance, contracted services, service calls, and any major projects for the month
- Conduct periodic staff meetings to ensure operations and staff requirements are met
- Provide support for tenant move-ins and move-outs and oversee construction.
- Ensure building permits status is current, and all applicable documents are closed accordingly.
- Assist the Acquisitions Department with pre inspections and capital planning of potential new assets.
- Obtain (as requested by Asset), review and action items on Environmental and/or Building Condition Reports.
- Manage the execution of capital projects and minor tenant construction, including tracking the progress of the project. Ensure projects are reconciled upon completion and collaborate with various departments to communicate progress.
- Provide technical direction and consultation on projects as well as capital planning and development of building's operating budget
- Ensure periodic meetings take place with the Construction team
- Coach, train and supervise the operations team. Perform annual reviews for the operations team and seek opportunities for their development and advancement. Ensure all training requirements are up to date and tracked accordingly.
- Provide assistance to Management as requested
- Provide support to the sustainability team as required and participate in the sustainability committee
- Assist with preparation of budgets and monthly and quarterly reports, as applicable to each property
- Review and assist with monthly listings of accrued expenses and capital expenditures. Reconcile capital projects and ensure all documentation is accounted for as per standard procedures.
- Review and approve invoices and purchase orders within approval level
- Monitor and ensure sustainability data is updated on ESG software tracking system
- Monitor Crown APP and Property Management system to ensure preventative maintenance, compliance follow Crown’s KPI’s and ensure documentation is current, address outstanding items with operations teams for action and collaborate with property management to ensure compliance scores are higher than 85%
- Assist with the development of Standard Operating Procedure and implementation, as required.
- Seek opportunities and support best practices to reduce energy consumption
- Assist with environmental assessments and reporting
- Manage disproportionate utility consumption and billings and monitor energy usage
- Assist with Green Building certifications and green management practices
What We’re Looking For
- A post-secondary degree preferred
- BES I/II or other equivalent technical designation
- Ten or more years of experience managing the critical operations and/or maintenance of commercial properties
- Continuing involvement with professional organizations such as BOMA and IREM
- Excellent client relation skills
- Working Knowledge of LEED and BOMA standards
- Experience with Yardi Construction Manager including tendering projects, navigating budgets, contract details and reporting status updates.
- Knowledge and understanding of construction practices/techniques, project controls and building support systems
- Intermediate Microsoft Office (Word, Excel, PowerPoint and Outlook) skills
- Strong knowledge of workplace tools such as building automation system, preventative maintenance, security and HVAC operations
- Basic First Aid, CPR and AED Certification
